Legal Secretary, Paralegal

We are seeking a highly organized and detail-oriented Paralegal to support our legal team in the day-to-day administration of entertainment and music-related matters. This role sits at the center of multiple active projects and requires strong follow-through, communication, and tracking skills. The Paralegal will help coordinate clearances, draft and manage agreements, and ensure that a high volume of matters move efficiently from initiation to full execution.

Key ResponsibilitiesManage project-level clearance workflows under the supervision of attorneys and associates
- Collect contributor terms and deal points from management and internal stakeholders
- Build and maintain tracking systems and status reports for active matters
- Send terms confirmation emails to management
- Draft agreements at the direction of associates
- Distribute agreements and proactively follow up with opposing counsel until fully executed
- Maintain organized communications and route questions/comments to appropriate parties
- Gather personnel information from management and business management teams
- Maintain tracking spreadsheets and execution status reports
- Draft agreements under supervision of associates
- Send and track agreements through completion and execution
- Process synchronization license requests
- Draft and send approved license agreements
- Draft and distribute Work-For-Hire agreements and NDAs as requested
- Assist attorneys and management with document preparation and follow-up
- Maintain organized digital files and databases
- Ensure tracking systems and documents remain accurate and up to date
- Assist with improving workflows, processes, and internal organization systems
- Help implement efficiency improvements across recurring legal processes
- 1–3+ years of professional experience, preferably at an entertainment law firm, record label, publisher, or artist management company
- Familiarity with music business terminology (recording, publishing, producer agreements, PROs, etc.)
- Bachelor’s degree preferred (Business, Legal Studies, Communications, Media Studies, or similar)
- Proficiency in Microsoft Office
- Exceptional attention to detail
- Strong organizational and time-management skills
- Clear written and verbal communication
- Ability to manage multiple concurrent projects
- Comfortable following structured processes while working independently
- Proactive follow-up and problem-solving mindset
- Interest in the music and entertainment industry
