Responsibilities
- Serve as the first point of escalation for paralegal operational and workflow issues, monitoring requests for paralegal support, proactively identifying challenges, facilitating timely resolution, and maintaining clear, consistent communication with the Senior Paralegal Manager to support alignment and efficiency across the paralegal team.
- Provide day-to-day operational coordination and mentorship of paralegals, including guidance on workload prioritization, reinforcement of established workflows and standards, and identification of issues for escalation, without responsibility for performance management or disciplinary authority.
- Execute established training and onboarding for new paralegals, delivering instruction, guidance, and reinforcement to ensure consistent adoption of departmental procedures, workflows, and expectations.
- In partnership with Senior Paralegal Manager, promote compliance with Court Rules and Judges’ Individual Rules and Practices, serving as a knowledgeable resource to paralegals by reinforcing Managing Attorney guidance and performing procedural quality‑control checks to help identify and prevent errors prior to escalation.
- Coordinate and implement paralegal case assignments for new matters, in consultation with the Senior Paralegal Manager, including assessing staffing needs, making recommendations, and disseminating assignments following manager approval.
- Provide senior‑level litigation paralegal support on active, large‑scale, and complex matters across all phases of the litigation lifecycle.
- Perform case work efficiently and cost‑effectively while meeting an annual target of 1,200 billable hours.
- Maintain all aspects of case calendars and track deadlines to ensure compliance with court and administrative body requirements.
- Manage all aspects of case file organization and tracking, including handling large volumes of documents, correspondence, pleadings, court filings, discovery materials, document productions, privilege logs, transcripts, exhibits and deposition, conference, hearing, pre‑trial, and trial preparation materials.
- Organize, track, prepare, and update attorney and case team binders, case files, and correspondence files.
- Own and manage document productions, both hard copy and electronic, including collecting documents and data from clients and third parties, processing productions, maintaining chain of custody, handling logistics with eDiscovery vendors, designing and implementing document review procedures, and preparing privilege logs.
- Maintain, track, store, organize, and manage case files, media, and databases, including hard copy and electronic document productions.
- Perform manual and electronic searches using internal and external systems and databases to ensure prompt retrieval of necessary information for research requests and fact investigations.
- Utilize document management systems and databases and administer privacy and confidentiality protocols.
- Prepare and finalize legal and all supporting documents for filing, including cite‑checking, Blue Booking, compiling, organizing, and collating appendices and exhibits, formatting documents in accordance with Court Rules and Judge’s Individual Rules and Practices, drafting Table of Contents and Authorities and e‑filling where appropriate.
- Research, interpret, and serve as a resource on court rules, Judge’s individual rules and practices, administrative body, and tribunal rules, processes, and procedures, providing guidance and quality control to attorney teams.
- Perform legal and factual research, analyze results, and summarize findings.
- Draft various legal documents, including notices, motions, memoranda, proposed orders, correspondence, discovery requests and responses, privilege logs, stipulations, and case‑related materials, as needed or directed by case attorney teams.
- Prepare attorneys for depositions, conferences, arbitrations, mediations, hearings, and trials by compiling, indexing, organizing, and tracking preparatory materials and handling logistical and technical details.
- Prepare attorneys for trials by drafting, compiling, organizing, and tracking trial exhibits and deposition designations; prepare witness examination kits, legal documents, demonstratives and evidence for court presentation; and serve as a trial logistics coordinator, including liaising with vendors, opposing trial parties and court personnel.
