Position Summary

The Inbound Coordinator is responsible for the administrative accuracy and data integrity of the company’s inbound supply chain. Working within the Logistics branch of the Operations team, this role focuses on the precise maintenance of the ERP system, internal tracking logs, and inbound shipment data. Reporting to the Senior Logistics Specialist, the Inbound Coordinator ensures that all digital records accurately reflect the physical movement of the company’s imports.

This position is critical for maintaining inventory visibility, operational accuracy, financial reporting, and regulatory compliance.

Responsibilities
  • ERP Data Management:
    Maintain all inbound shipment and import-related data within the ERP system, ensuring information is accurate, complete, and up to date.
  • Internal Log Maintenance:
    Oversee the accuracy of internal tracking logs, dashboards, and Google Sheet trackers, performing regular audits to ensure information is synchronized across all platforms.
  • Shipment Tracking & Milestone Accuracy:
    Monitor and update shipment status information, including shipping numbers, ETDs, ETAs, and arrival dates, ensuring records accurately reflect shipment movement and providing reliable visibility to the Logistics team.
  • Shipper Portal Management:
    Pull, review, and maintain shipment information from carrier and shipper portals, ensuring data is accurately reflected within internal systems.
  • Documentation Verification:
    Review incoming shipping documentation, commercial invoices, and packing lists for clerical errors or discrepancies prior to system entry and finalization.
  • Inventory Reconciliation:
    Partner with the Inbound Operations team to investigate and resolve discrepancies between system records and physical inventory arrivals.
  • Data Integrity Auditing:
    Conduct periodic audits of shipment data, system records, and dashboards to ensure information remains accurate, complete, and compliant with internal record‑keeping standards.
  • Process Improvement:
    Identify opportunities to improve manual processes, increase efficiency, and enhance data accuracy across inbound logistics workflows.
  • Communication & Follow‑Up:
    Proactively follow up with vendors, carriers, and external partners to obtain missing information, resolve issues, and communicate risks or delays to internal stakeholders.
Requirements
  • Bachelor's degree in Logistics, Supply Chain, Business, or a related field (or equivalent experience).
  • 1–2 years of experience in operations, supply chain, logistics, inventory management, data administration, or a related function.
  • Experience maintaining data across ERP systems, tracking tools, or similar operational platforms.
  • Familiarity with international logistics, freight forwarding, or trade compliance is a plus.
  • International bulk shipping experience preferred.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Excellent organizational, communication, and follow‑up skills.
  • Ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
  • Strong problem‑solving and critical‑thinking abilities.
Systems & Tools
  • Proficiency in Excel.
  • Experience with ERP systems preferred (ERGW, Exenta, or similar platforms).
  • Experience with Tableau or other reporting/dashboard tools is a plus.
  • Comfortable working across multiple systems and databases.
