Production​/Shipping Coordinator

Overview

A dynamic fashion company based in New York City is seeking a Production and Shipping Coordinator. The candidate will report to the Senior Operations Manager and be responsible for duties that include but are not limited to:

• Attending product review meeting, entering styles, assigning and uploading UPCs, creating sales orders in the ERP software, updating data when necessary.
• Communicate with vendors, freight forwarders and brokers to ensure timely clearance, freight release and delivery of shipments.
• Daily communication with brokers, shipping teams and warehouses to ensure on-time routing, shipping, etc., track BOLs, obtain PODs.
• Receive goods and track inventory, review vendor and routing guides taking ownership of each customer’s SOPs, working understanding of required EDI transactions, cancel dates, routing deadlines, shipment methods, etc.
• Providing warehouses with pick tickets, packing lists, BOLs, labels, work orders, routing guides and shipping notes.
• Creating incoming shipment logs and follow up/review receiving reports from the warehouse before receiving in the system.
• Invoice outgoing shipments. Review incoming documents from factory for errors.
• Run reports from ERP as and when required. Inventory management and adjustment.
• Follow up with accounting regarding pending credit approvals to release orders for shipping to warehouse. Update credit approvals in the system.
• Analyze, review, dispute and/or submit chargeback violations for approval/processing.
• Organizational skills and excellent communication skills is a must with ability to multi-task and meet deadlines.
• Knowledge of Win Fashion software highly preferred.
• Attention to detail is paramount, as timely shipments and adherence to client guidelines are of the highest importance

• Experience with ERP systems and processes: entering styles, assigning and uploading UPCs, creating sales orders, and updating data as needed.
• Strong communication with vendors, freight forwarders and warehouses; ability to track shipments (BOLs, PODs) and ensure on-time delivery.
• Experience with receiving, invoicing, and managing packing lists, labels, routing guides, and shipping notes.
• Understanding of vendor routing guides, EDI transactions, and inventory management.
• Proficiency with Win Fashion software highly preferred.
• Excellent organizational and multi-tasking abilities; detail-oriented with a focus on meeting deadlines.
