Sample Coordinator

Summary

The Sample & Production Coordinator manages the organization, tracking, and distribution of incoming and outgoing samples, serving as a liaison between Production, Sales, PR, and other departments. This role coordinates shipment logistics and prepares documentation for domestic and international movement of goods, while maintaining the sample closet and ensuring sample availability and condition.

• Coordinate and manage sample requests across PR, Wholesale, Retail, Trunk Shows, Production, and special projects.
• Maintain and update sample tracking systems to ensure visibility of sample location, status, and availability.
• Communicate shipping, messenger, and delivery status updates to stakeholders and prioritize sample usage with cross-functional teams.
• Monitor global shipping and logistics to anticipate delays and resolve issues; support shipment execution and routing for urgent deliveries.
• Prepare production trims and review shipping documentation such as commercial invoices, packing lists, and Carnets with freight forwarders.
• Ensure shipments comply with international and domestic regulations; maintain organization and cleanliness of the Sample Closet and inspect samples upon return.

• 2–4 years of experience in sample coordination, logistics, production support, or a related role (fashion/apparel preferred).
• Strong understanding of domestic and international shipping processes and documentation (Carnets, commercial invoices, packing lists).
• Exceptional organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
• Strong communication and problem-solving skills; familiarity with Fashion GPS or similar sample tracking tools and proficiency in Microsoft Office.
