Overview
Temporary Logistics Specialist position at an international import/export company in New York. This role supports logistics and import/export operations, including shipment coordination, documentation, invoicing, payment processing, and vendor/customer communication. The assignment is hybrid, with 3 days onsite and 2 days remote, Monday through Friday, 9:00 a.m. to 5:00 p.m. The assignment is expected to start in early September and will most likely end sometime in February 2027.

Job Summary
An international import/export company is seeking a Logistics Specialist to support its logistics and import/export operations. This position will be responsible for coordinating shipments, tracking deliveries, preparing shipping documents, issuing invoices, processing payments, and communicating with internal teams, overseas offices, customers, vendors, transportation companies, ports, warehouses, customs brokers, and other related parties. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to manage multiple logistics-related tasks in a multicultural business environment.

Key Responsibilities
Coordinate domestic and international logistics operations for import/export shipments. Communicate with overseas offices, internal departments, customers, suppliers, freight companies, rail companies, ports, warehouses, customs brokers, and other vendors. Prepare and send release instructions to transportation companies, ports, warehouses, and related parties. Negotiate and confirm freight rates with trucking companies, railroad companies, ports, and other logistics vendors. Track shipments from origin to final customer destination and maintain accurate shipment records.

Maintain spreadsheets with shipment details, contract information, pricing, payment status, due dates, and delivery status. Prepare, issue, and send invoices, credit notes, debit notes, and shipping-related documents. Coordinate with customers and brokers to support shipment release and delivery. Review vendor invoices and process payments to transportation companies, ports, customs brokers, warehouses, insurance companies, suppliers, and other related parties. Enter invoice and payment information into the company’s internal system.

Track payments received and process related accounting transactions. Organize shipment files, maintain documentation, and ensure records are accurate and up to date. Support reconciliation of shipment, pricing, invoice, and payment information. Perform other logistics and administrative duties as assigned.

Requirements

Qualifications:

Associate degree in Business, Logistics, International Trade, or a related field preferred, or equivalent work experience.
1–2 years of office, logistics, import/export, or administrative experience preferred.
Strong written and verbal communication skills.
Ability to work effectively in a multicultural business environment.
Strong attention to detail and organizational skills.
Proficiency in Microsoft Excel and Word.
SAP Experience Is Preferred But Not Required.
Experience with logistics documentation, invoicing, shipment tracking, or vendor coordination is a plus.

Work Hours / Work Style
Monday through Friday, 9:00 a.m. to 5:00 p.m.
Hybrid schedule: 3 days onsite and 2 days remote.
