About the Role
Capture Accessories is looking for a highly organized Import Logistics Coordinator to manage finished goods from overseas factories through on-time delivery at our U.S. distribution centers — keeping vendors on production timelines, ensuring freight is booked correctly with our forwarders, and driving shipments through customs and into our DCs on schedule.
Responsibilities- Liaise daily with overseas factories and sourcing offices to track production against approved timelines and ship dates
- Maintain the production/shipping calendar across all vendors and brands, flagging at-risk dates early
- Manage extension requests and communicate revised delivery timelines internally
- Ensure vendors book freight accurately and on time with our forwarders per required ship windows
- Review, manage, and approve freight bookings, confirming shipment details, vessel schedules, and ETD/ETA accuracy
- Coordinate with forwarders to resolve booking errors, rolled bookings, and schedule changes
- Prepare and maintain import documentation — commercial invoices, packing lists, bills of lading, customs entries
- Manage Direct Import (DI) and Port of Entry (POE) coordination end-to‑to‑end, including customs clearance and retailer routing compliance
- Reconcile vendor and freight forwarder invoicing and resolve discrepancies
- Coordinate inbound shipments to ensure timely, in‑full delivery to our distribution centers
- Proactively communicate inbound schedules, delays, and exceptions to U.S. Sales and Operations teams
- Maintain shipment tracking logs and resolve documentation or delivery issues as they arise
- 2–5 years in import logistics, production coordination, or supply chain
- Hands‑on experience with overseas factories, vendors, and freight forwarders
- Strong grasp of production calendars, PO management, and import logistics (ocean freight, DI, POE, customs)
- Proficiency in Excel and Outlook
- Strong organizational, communication, and time management skills
$70,000–$80,000 annually, commensurate with experience. Monday through Thursday in our New York City office, with Fridays remote. Benefits package included.
