Customer Service/Order Management Specialist
We are currently seeking a Customer Service/Order Management Specialist for a client company that is a global aftermarket supplier, replacement parts and services for heavy-duty industrial gas turbines. On-site presence will be required in their Clifton Park, NY area offices.
Role Responsibilities OverviewThe position is responsible for keeping order information accurate, communicating clearly with customers, and helping internal teams identify delays or documentation gaps before they affect commitments.
Core ResponsibilitiesCustomer Communication:
Provide accurate, proactive order updates using the Open Order Report. Communicate readiness, delays, partial shipments, consolidation, documentation status, and pickup timing clearly.
Vendor Follow-Up Support:
Track vendor updates, confirm ETAs and required documentation, follow up on overdue or at-risk items, and escalate timeline risks through the Vendor Manager. Vendor relationship ownership remains with the Vendor Manager.
Open Orders Coordination:
Maintain the Open Orders worksheet as the source of truth for job numbers, PO numbers, order status, vendor ETAs, customer due dates, readiness, and internal notes.
Issue Tracking:
Review for missing, outdated, or conflicting data; standardize notes; verify unclear details before responding; and surface shipment, documentation, or readiness gaps early.
Internal Coordination:
This role works closely with Warehouse, Accounting, Shipping/Logistics, Vendor Management, and Order Management to align order readiness, payment status, documentation, shipment scheduling, and customer priorities.
- Customers receive consistent, accurate, and proactive communication.
- Open Orders data is reliable for internal reporting and customer updates.
- Vendor updates are timely, verified, and actionable.
- Shipment delays, readiness issues, and documentation gaps are escalated early.
- Unverified information is confirmed before being shared internally or externally.
- Outlook:
External communication with customers and vendors.
- Excel:
Primary tool for order data, tracking, reporting, and workflow management.
- Slack:
Internal team communication and quick coordination.
- Asana:
Work management, task tracking, and follow-up visibility
Pay range: $25 – 30/hour
