The Logistics Specialist is responsible for managing the daily processing and fulfillment of orders for U.S. offline retail channels. This role oversees order entry, fulfillment tracking, logistics coordination, exception resolution, and operational reporting to ensure accurate and on-time delivery. The position works closely with customers, warehouses, carriers, third-party logistics providers, and internal teams to support efficient order execution and maintain a high level of customer service.
Key ResponsibilitiesOrder Processing
- Receive and process orders from offline retail channels, ensuring all information is complete and accurate.
- Review order details, including products, quantities, pricing, shipping requirements, and delivery addresses.
- Manage order changes, cancellations, rush orders, and other special requests.
- Generate order confirmations and communicate relevant information to customers and internal stakeholders.
- Ensure orders are processed in accordance with customer requirements and internal procedures.
Order Tracking and Fulfillment
- Track order status and fulfillment progress through ERP, WMS, EDI, and retailer systems.
- Proactively monitor order execution and identify potential delays, discrepancies, or fulfillment risks.
- Provide regular order status updates to customers and internal stakeholders.
- Follow up on delayed or incomplete orders and coordinate timely solutions.
- Ensure order-related issues are documented, escalated, and resolved appropriately.
Logistics Coordination
- Coordinate shipping arrangements with warehouses, carriers, and third-party logistics providers.
- Determine appropriate transportation methods and monitor in-transit shipments.
- Handle shipping exceptions, including delays, damages, shortages, and lost shipments.
- Communicate with relevant parties to resolve logistics issues and minimize delivery disruptions.
- Ensure orders are delivered accurately, efficiently, and on schedule.
Data Maintenance and Reporting
- Accurately enter, maintain, and update order, shipping, and inventory data in relevant systems.
- Regularly reconcile inventory data to ensure alignment between system records and physical inventory.
- Prepare weekly and monthly reports and analyze order fulfillment performance.
- Monitor key operational issues and identify opportunities for process improvement.
- Provide accurate data and operational insights to support management decisions.
- 2+ years of experience in order processing, logistics, supply chain operations, or a related field.
- Experience supporting U.S. offline retail channels, including major retailers, supermarkets, or distributors, is preferred.
- Experience working with retailer EDI portals or systems is strongly preferred.
- Familiarity with ERP and WMS systems is preferred.
- Strong attention to detail and the ability to maintain accuracy in a high-volume order environment.
- Strong communication, coordination, analytical, and problem-solving skills.
- Ability to manage multiple priorities, meet deadlines, and respond promptly to order and shipping exceptions.
- Ability to work independently while collaborating effectively with cross-functional teams and external partners.
