Mech Maxx is a fast-growing heavy equipment brand offering pressure washers, wood chippers, log splitters, mini excavators, and related outdoor power machinery. We ship from warehouses in New Jersey, California, Illinois, and Texas, and our products are sold through a nationwide dealer network and major big-box retailers, including Home Depot. As our retail channel scales, we are building a dedicated team to make sure every retail purchase order is fulfilled accurately, on time, and in full compliance with our retail partners' requirements.

The Role

We are looking for an Operations Associate to own the day-to-day fulfillment of purchase orders from large retail accounts. You will be the person who makes sure a PO moves cleanly from receipt to delivery: acknowledging orders through EDI, coordinating with our warehouses to pick and ship, tendering freight through retailer transportation systems, sending ASNs and invoices, and resolving any chargebacks or compliance issues along the way.

This is a hands-on, detail-driven role for someone who has already worked inside the retail supply chain and understands what it takes to keep a big-box account happy. You will work closely with our Fulfillment & Logistics Manager, warehouse teams, and retail account contacts.

What You'll Do
  • Receive, review, and acknowledge retail purchase orders via EDI (850/855) and confirm item, quantity, pricing, and ship-window accuracy against the retailer's item setup
  • Coordinate order fulfillment with our warehouse teams across NJ, CA, IL, and TX, ensuring orders are picked, packed, labeled, and shipped within the retailer's required ship and delivery windows
  • Prepare and transmit Advance Ship Notices (856), invoices (810), and other required EDI documents accurately and on time; monitor for and resolve rejected or errored transactions
  • Tender LTL and parcel shipments through retailer transportation management systems (e.g., Home Depot TMS/VPX) and under retailer-managed carrier accounts; schedule pickups and track shipments through delivery
  • Generate compliant shipping labels, packing lists, BOLs, and carton/pallet markings per each retailer's routing and vendor compliance guides
  • Track fill rate, on-time shipping, and ASN accuracy; proactively flag inventory shortfalls, backorders, or at-risk orders and communicate updates to retail partners
  • Investigate and dispute chargebacks, shortages, and compliance deductions; maintain documentation to support claims
  • Maintain accurate item data, order records, and shipment status in our systems and the retailers' vendor portals
  • Support new retailer onboarding, including EDI testing, vendor portal setup, and item/catalog setup
  • Identify recurring issues in the retail fulfillment process and recommend improvements to reduce errors and chargebacks
What We're Looking For Required
  • 2+ years of experience in order fulfillment, supply chain, or vendor operations supporting large retail accounts (e.g., Home Depot, Lowe's, Walmart, Tractor Supply, Amazon, Costco, Target, or similar)
  • Hands-on experience with EDI transactions (850, 855, 856, 810, 997 at minimum) and working with an EDI provider or platform such as SPS Commerce, True Commerce, or similar
  • Familiarity with retailer vendor portals, routing guides, and vendor compliance requirements, including chargeback prevention and dispute processes
  • Experience coordinating LTL and parcel shipments, including BOLs, carrier scheduling, and shipment tracking
  • Strong attention to detail and ability to manage a high volume of orders with tight deadlines
  • Proficiency in Excel or Google Sheets (lookups, pivot tables, basic data cleanup)
  • Clear, professional written and verbal communication skills
Preferred
  • Experience with Home Depot's supplier systems (Supplier Hub, TMS/VPX) or comparable big-box retailer platforms
  • Experience with retailer transportation management systems and retailer-managed freight programs
  • Background in heavy equipment, outdoor power equipment, hardware, or other large/freight-class products
  • Experience with ERP or WMS systems (e.g., Net Suite, Quick Books, Fishbowl, or similar)
