Job Summary:The Supply & Facilities Coordinator supports supply distribution and facility operations across clinical and non-clinical areas. This role is responsible for maintaining adequate inventory levels of medical supplies, equipment, and linen while ensuring assigned areas remain safe, organized, and operational.
The coordinator works closely with administrative and clinical leadership to support efficient patient care by managing inventory, coordinating with vendors and support departments, and maintaining supply areas in accordance with established standards and inventory levels
The role also partners with Plant Operations, Facilities Management, Safety, Environmental Services, and other ancillary departments to ensure patient care areas, exam rooms, treatment areas, laboratories, waiting rooms, conference rooms, offices, and other assigned spaces are maintained in a clean, safe, and functional condition
Key Responsibilities Supply Ordering- Monitor inventory levels and order supplies to maintain established par levels.
- Conduct routine inventory counts of assigned supply areas.
- Process supply orders through the inventory management system (e.g., Helios)
- Order additional or non-routine supplies as requested by leadership or clinical staff
- Monitor backorders and communicate critical supply shortages to management
- Identify and return excess inventory for credit when appropriate.
- Track high-usage items and recommend inventory adjustment
- Participate in reviewing and updating par levels with department leadership.
- Process return authorizations and inventory credits
- Ensure accurate ordering by selecting the correct quantities, cost centers, expense codes, and delivery locations.
- Identify cost-saving opportunities and recommend process improvements.
- Receive, distribute, and stock supplies according to departmental standards.
- Deliver supplies to designated clinical and non-clinical areas within established time frames.
- Rotate inventory using first-in, first-out (FIFO) practices.
- Replenish procedure carts and supply carts daily.
Stock patient care areas, including: - Nurse stations, Medication rooms, Supply closets, Examination rooms, Patient rooms
- Treatment areas Laboratories Waiting are as Conference and consultation rooms
- Deliver and properly store medications and FDA-approved products when required.
- Maintain secure storage of regulated products in accordance with organizational policies.
- Restock linen in designated patient care areas, when applicable.
- Introduce yourself to patients or visitors before entering occupied patient rooms.
- Coordinate with vendors and internal support departments to address facility-related needs.
- Assist in maintaining a safe, clean, organized, and functional environment throughout assigned departments.
- Report facility maintenance or safety concerns promptly.
- Support continuous improvement initiatives related to supply management and facility operations.
- High School Diploma or GED.
- Basic proficiency with Microsoft Office (Word, Excel, and PowerPoint).
- Ability to work in environments with varying temperatures, including refrigerated or cold-storage areas, when supporting Food & Nutrition operations.
- Previous supply, warehouse, inventory, logistics, or healthcare support experience is preferred; entry-level candidates may be considered
