Role Overview
We are looking for a high-energy, proactive, and exceptionally organized Executive Office Assistant to serve as the operational backbone of our NYC headquarters. Reporting directly to the CEO, this role will focus on strategically managing the CEO’s schedule particularly with high-profile board members, while simultaneously cultivating a world-class office environment for our growing team. This role requires an individual with discretion, high EQ and will be based out of our New York City office (in office 3 days a week).
Key Responsibilities Executive Support & Calendar Management- Strategic Scheduling: Manage the CEO’s calendar with a high degree of foresight, ensuring meetings are prioritized according to business goals and time is protected for "deep work."
- Travel & Logistics: Coordinate end-to-end domestic and international travel, including flights, ground transportation, and detailed itineraries.
- Meeting Preparation: Prepare agendas, briefing materials, and presentations for board meetings, investor calls, and internal leadership summits.
- Expense Management: Handle timely processing of the CEO’s expenses and assist with departmental budget tracking.
- Workspace Excellence: Oversee daily operations of the NYC office, ensuring a clean, organized, and high-functioning environment for the team.
- Vendor Relations: Manage relationships with building management, cleaning services, IT support, and catering vendors.
- Procurement: Maintain inventory and order all office supplies, equipment, ensuring the team has everything they need to be productive.

Experience:
Serve as the primary "face" of the office, welcoming clients, candidates, and partners with a high level of professionalism. - Special Projects & Culture: Lead the planning and execution of team offsites, company-wide retreats, and local NYC events, managing everything from venue sourcing and contract negotiation to catering, transportation, and agenda flow.
- Must have at least 5-8 years experience supporting and partnering with an executive
- Proven ability to handle sensitive and confidential information with absolute integrity
- Experience in the beauty industry preferred
- Exceptional written and verbal communication
- Highly effective in organization, prioritization and project management
- Excellent response time and communication skills
- Ability to work proactively and independently in a fast-paced environment
- Highly collaborative and able to support multiple business units
- Experience in luxury beauty preferred

Salary Range:
The Salary Range for this position is $90K to $120K, with exact salary depending on the location, prior work experience, and the assessment for one's fit of the role.
