The Lymphoma Research Foundation seeks a Senior Manager to serve as the administrative backbone of its Scientific Programs and Initiatives team. We are looking for someone who thrives juggling multiple priorities at once and keeping complex operations running seamlessly across scientific meetings, virtual programs, and publications. The ideal candidate may come from an executive assistant, chief of staff, or senior administrative background in a fast‑paced corporate or small‑organization setting.
The Foundation’s mission is to realize the promise of science to eradicate lymphoma and serve the community touched by this disease. The Senior Manager will support and execute a diverse portfolio of scientific initiatives to facilitate collaboration and partnerships among academic scientists, clinicians, government agencies, and regulatory bodies. These efforts include virtual meetings, drafting scientific reports, and in‑person scientific meetings. The Senior Manager will play a vital role in the execution of these initiatives, including managing external chairs and steering committees, program planning meetings, logistics, vendor, speaker and attendee coordination, and on‑site support.
The Senior Manager will report to the Director of Scientific and Professional Education Programs and be accountable for managing the workflow, logistics, programming, and output for all of the Foundation’s scientific programs and initiatives. This individual will also serve as a strategic operational partner to department leadership, ensuring seamless day‑to‑day operations while managing high‑priority communications, complex scheduling, and confidential matters with the utmost discretion.
This position is based in the Foundation’s New York City office; all New York‑based staff are required to work in the Foundation office weekly Tuesday–Thursday; staff may elect to work Mondays and Fridays remotely.
- Assist with all aspects of management in a diverse portfolio of scientific initiatives to facilitate collaboration and partnerships among multiple stakeholder groups, including academic scientists, clinicians, government agencies, and regulatory bodies.
- Works with Foundation leadership to set calendar for research/scientific programming, including Steering Committee members and faculty for individual programs.
- Proactively manage the department’s programming calendar, resolving scheduling conflicts and prioritizing time‑sensitive commitments across all active initiatives.
- Support the Director in management logistics of steering committee meetings, including tracking attendance, agenda development, circulation of scheduling polls, scheduling meetings, and recording meeting minutes.
- Support the department in managing membership and engagement of the Foundation’s consortia and executive committees, including establishing an engagement calendar for each consortium and managing working groups in conjunction with consortia/working group leadership.
- Facilitate post‑meeting manuscript development to be published at the direction of the steering committee/initiative leadership.
- Assist with department budgeting and forecasting.
- Support every aspect of scientific programming planning logistics, including venue contracting, save the dates and invitations, note taking during planning meetings, collection of speaker biographies/headshots/presentations, and liaising with the venue/vendors on venue set up, rooming lists, AV, and catering.
- Creates and issues Requests for Proposals (RFP) for Foundation meetings and programs to potential venues/vendors and coordinates internal review and contract execution, including conducting site visits if needed.
