Position OverviewGallant Business Solutions is seeking a highly organized and disciplined Project Manager to oversee planning, coordination, and executive reporting across multiple high-profile strategic initiatives.
This role is not a traditional project ownership position.
Instead, you will serve as the central coordinator responsible for ensuring that dozens of cross‑functional work streams remain aligned, accountable, and on schedule. You will create executive visibility across complex projects by maintaining master project plans, identifying risks early, managing dependencies, facilitating communication, and providing leadership with accurate reporting that supports informed decision‑making.
Initially, you will support two major initiatives:
- Integration of a newly acquired luxury hotel property in San Antonio
- Pre‑opening of a luxury hotel property in Turks & Caicos
As these projects progress, additional strategic initiatives will be assigned.
What You’ll Do- Build and maintain comprehensive master project plans across multiple concurrent initiatives.
- Develop project schedules, milestones, dependencies, and critical path timelines.
- Continuously monitor project progress and update schedules to reflect changing priorities.
- Coordinate work across Operations, HR, Finance, Food & Beverage, Sales & Marketing, IT, Construction, Legal, Procurement, Design, Consultants, and third‑party vendors.
- Ensure every workstream owner understands responsibilities, deadlines, dependencies, and project priorities.
- Facilitate communication across teams that do not share direct reporting relationships.
- Produce weekly executive dashboards and status reports for senior leadership.
- Provide clear visibility into project health, milestone completion, risks, dependencies, and upcoming decisions.
- Monitor critical path activities across multiple projects.
- Identify schedule risks early and develop mitigation strategies.
- Escalate issues before they impact project delivery.
- Maintain RAID logs, risk registers, action logs, and decision tracking.
- Lead recurring project meetings.
- Ensure consistent follow‑up on action items and project commitments.
- Establish reporting cadence that creates accountability while remaining adaptable to the organization’s collaborative culture.
- Coordinate timelines with consultants, contractors, legal counsel, technology vendors, construction teams, and external partners.
- Ensure information flows effectively between all stakeholders.
- Partner closely with the Construction Project Manager while coordinating all operational readiness activities that occur alongside and following construction.
- Recommend and administer the project management platform best suited for the organization.
- Introduce practical project management best practices without creating unnecessary bureaucracy.
- Continuously improve project reporting, visibility, and execution processes.
Ensuring every workstream owner remains aligned, accountable, and informed. You create clarity where there is complexity. You build confidence through organization. You provide executives with the visibility needed to make timely decisions.
Required Qualifications- 7+ years of progressively responsible project or program management experience.
- Demonstrated success managing large, complex, multi‑workstream projects involving numerous stakeholders.
- Proven experience coordinating cross‑functional teams without direct management authority.
- Strong understanding of project management methodologies, governance, scheduling, dependency management, and critical path planning.
- Hands‑on experience with enterprise project management software such as Smartsheet, Microsoft Project, Asana, , Primavera, Click Up, or similar platforms.
- Experience building executive dashboards, project reporting, milestone tracking, and risk reporting.
- Excellent organizational, analytical, and problem‑solving skills.
