We're looking for someone who wants to operate at the center of a fast-growing technology company — solving problems before anyone notices them, thriving in ambiguity, and moving at startup speed. You'll work directly with the CEO as an extension of his office, and closely with the Chief of Staff and Strategic Operations Lead, ensuring the company runs efficiently every day.
Your job, distilled: make the CEO — and the broader leadership team — more efficient, more focused, and able to spend time on what matters most.
That means anticipating needs before they're voiced, removing friction, juggling dozens of moving pieces at once, and making sure nothing falls through the cracks.
Every day looks different. Priorities shift fast. If you want predictability, this isn't your role. If you want ownership, high-stakes problem-solving, and a seat next to the founder, keep reading.
What you'll own Executive Operations- Manage the CEO's complex, ever-shifting calendar across time zones with investors, customers, partners, and board members
- Triage competing requests and protect his time
- Prepare agendas, materials, and follow-ups so every meeting is productive and nothing gets dropped
- Serve as the on-the-ground point person in New York for the Chief of Staff and Strategic Operations Lead, executing on priorities they set and flagging what needs real-time attention
- Plan and execute all domestic and international travel — flights, hotels, ground transport, detailed itineraries, reservations — including last-minute changes, flawlessly
- Travel with the CEO as needed for key meetings, events, and trips, providing real-time, on-the-ground support
- Lead planning and execution for executive dinners, investor meetings, product launches, Barsys Happy Hours, customer experiences, off-sites, and conferences — venues, vendors, budgets, timelines, on-site logistics, start to finish
- Serve as the connective tissue between the CEO, the Chief of Staff, Strategic Operations Lead, and the rest of the org
- When something needs to happen, figure it out — you won't always know the answer, but you'll know how to find it fast
- Exceptionally organized, detail-obsessed, and three steps ahead
- Takes initiative without being asked; treats ownership as a feature, not a burden
- Comfortable taking direction from and coordinating across multiple senior stakeholders
- Learns new tools fast and communicates with precision, in writing and in person
- Calm under pressure, energized (not drained) by fast-changing priorities
- Willing and able to travel, sometimes on short notice
- Absolute discretion with sensitive and confidential information
- 1–4+ years supporting founders, C-suite execs, or senior leadership
- Startup or other high-growth environment experience
- Fluency in Google Workspace, Microsoft Office, Slack, Asana or similar
- Comfort using AI tools (ChatGPT, Claude, Gemini) or automation platforms to move faster
- Experience planning corporate events or executive-level meetings strongly preferred
the CEO's schedule runs seamlessly, travel is flawless, meetings are prepped and followed through, projects move faster with less oversight, and you've already flagged and fixed at least one operational bottleneck.
First year:you've moved from managing tasks to creating leverage for the CEO, Chief of Staff, and Strategic Operations Lead alike. You're one of the most trusted people in the company — a genuine force multiplier for the whole leadership team.
If you move fast without sacrificing quality, love building structure where others see chaos, and want to be indispensable rather than just busy — we want to meet you.
