The Assistant Program Director of Day Services is responsible for supporting the overall operation and quality assurance of the Day Habilitation Program as assigned by the Program Director. This includes oversight of center-based and community-based programming, staff supervision and training, facility maintenance, compliance with OPWDD regulations, and adherence to Heart Share policies. The Assistant Director assumes full program responsibility in the absence of the Program Director.

Primary Responsibilities:
Service Delivery & Support
- Provide continuous on-site leadership of the Day Services Program with the Program Director.
- Ensure quality programming that meets the physical, social, developmental, and inclusion needs of individuals.
- Safeguard the health, safety, rights, and well-being of all program participants.
- Oversee maintenance of a clean, safe, and functional facility.
- Ensure vehicles are maintained, safely used, and meet inspection standards.
- Adhere to policies and procedures governing day-to-day operations.
- Ensure effective functioning of the Program Planning Team process.
- Oversee compliance with Heart Share billing, attendance, and documentation policies (e.g., Pcare, Precision Care).
- Verify daily group assignments to ensure appropriate staffing.
- Monitor documentation compliance, including behavior, safety, and vehicle records.
- Support implementation of the site-specific Quality Assurance (QA) Plan.
- Assist in the completion for incident follow-ups and audit responses within required time frames.
- Assist in managing internal fiscal systems, including petty cash and inventory control.
- Participate in hiring and orientation of new staff.
- Conduct regular observations of program activities and meals.
- Ensure staff complete required OPWDD and Heart Share trainings.
- Ensure ongoing supervision and timely completion of staff evaluations.
- Maintain systems for regulatory compliance and documentation accuracy.
- With the program team ensure participants are clean, safe, and supervised at all times.
- Provide crisis intervention and counseling when necessary.
- Maintain strict confidentiality of participant information.
- Ensure timely reporting and resolution of all incidents and serious reportable events
- Advocate for participants
- Participate in relevant internal and external meetings, committees, and professional groups.
- Model appropriate behavior and professionalism.
- Enforce Heart Share’s dress code.
- Performs other job-related duties as assigned, consistent with the scope, responsibilities, and level of the position, and in compliance with applicable laws, regulations, and organizational policies.
- Bachelor’s degree in health, Human Services, Special Education, or related field required.
- Two (2) years of managerial/supervisory experience required.
- Minimum five (5) years of experience working with individuals with developmental disabilities.
- Excellentwrittenandoralcommunicationskills.
- Highly energetic,focusedandaccountable.
- Abilitytoworkwellwithalllevelsofstaff.
- Extensive knowledge of OPWDD Programs required.
