Position: Deputy Chief of Staff, Office of the President & CEO
Location: New York

Position Summary

The Associated Medical Schools of New York (AMSNY) is the nonprofit consortium of the medical schools in New York State, working in partnership with its membership to advance medical education, biomedical research and clinical care. The Deputy Chief of Staff, Office of the President & CEO is responsible for working closely with the President & CEO to advance organizational priorities through a combination of strategic support, project leadership, research, coordination and executive operations.

The Deputy Chief of Staff is a critical partner to the President & CEO, ensuring their time, information and priorities are managed efficiently and strategically and helping translate priorities and decisions into action across the organization.

This role requires exceptional judgment, the ability to anticipate needs and comfort operating in a fast-paced environment involving board members, partners, policymakers and funders. The ideal candidate is a proactive problem solver who can manage competing priorities with professionalism and discretion and who is eager to develop a broad understanding of the organization, take ownership of important work, and grow into increasing levels of responsibility.

Key Responsibilities Strategic & Organizational Support
  • Work closely with the President & CEO to advance organizational priorities and translate strategic direction into action.
  • Develop a broad understanding of work underway across AMSNY and NYSADC and help identify connections, emerging issues, risks and opportunities.
  • Research and prepare materials for key internal or external audiences.
  • Provide support to the strategic planning process.
  • Synthesize research, stakeholder perspectives and organizational information to support decision-making.
  • Prepare briefing materials, background research and talking points ahead of important meetings, calls and public appearances.
  • Help identify issues requiring decisions, additional attention or follow-through.
Project Leadership & Coordination
  • Manage internal and external special projects in coordination with other staff on behalf of the President & CEO.
  • Take ownership of selected projects from initial planning through implementation and follow-through.
  • Translate decisions and priorities into clear next steps, owners, timelines and deliverables.
  • Coordinate work across staff and external partners when projects span multiple areas of the organization.
  • Track progress on key organizational priorities and proactively flag obstacles, risks or decisions that may require attention.
  • Partner with the Senior Director of Finance & Administration to maintain software platforms to manage workflow and to develop, track and update documents.
  • Support other AMSNY team members, particularly management team, as necessary and as directed by the President & CEO.
Executive Preparation & Decision Support
  • Keep abreast of President & CEO’s immediate and long-term commitments and plans; identify conflicts, flag problems for intervention and recommend or implement course corrections as appropriate.
  • Anticipate the President & CEO’s information and preparation needs by independently gathering necessary context, research and materials.
  • Help prioritize competing demands in light of organizational goals and emerging needs.
  • Prepare briefing materials, background research and talking points ahead of meetings, calls and public appearances.
  • Track action items and follow-ups from meetings and ensure deadlines are met.
  • Draft or coordinate meeting agendas and post-meeting summaries as needed.
  • Participate in selected meetings with the President & CEO and senior leaders to develop organizational context, capture decisions and help move work forward.
