We are seeking a highly organized, detail-oriented Production Coordinator to support the development and manufacturing of Culture Fly products. This person will help manage timelines, coordinate samples, maintain communication with factories, and ensure production progresses smoothly and on schedule. This is a full-time, in-office role based in New York City.
Key Responsibilities Production- The # 1 priority of this role is to manage the production process from order placement through to shipment
- The ideal candidate will be highly organized and solution oriented
- Proactively manage planning, placement, execution, and follow up of Production Orders
- Establish collaborative relationships with cross functional teams in Sales, Product Development, Licensing, Design
- Daily communication with factories in China and Vietnam
- Issue PO’s and amendments; manage Buyer PO Allocations for Direct Import orders
- Review Vendor Manuals & Program Guides; communicate retailer specific requirements to factories (ie: carton markings, PDQ’s, GTIN Labels, Sample Signing, RFID Tags, etc)
- Proactively monitor and ensure adherence to seasonal time & action calendars
- Maintain Open Order Tracking Chart to ensure all order requirements are fulfilled on time
- Review and approve Carton Markings
- Follow up on timely submissions of Buyer Samples, TOP Samples, Photo Samples, PDQ Samples
- Issue online Test Request Forms in CTL / UL system
- Schedule Final Inspections in Retail Link and resolve any issues reported
- Monitor bookings and shipment confirmations
- Update CPV Critical Path status in Retail Link weekly by department
- Work closely with Design, Product Development, Licensing, Logistics, and Compliance teams.
- Organize and maintain production documentation including test reports, approvals, and purchase orders.
- Prepare materials and samples for internal meetings and product reviews.
- Help troubleshoot delays or production challenges to keep projects on schedule.
- 3–5 years of experience in production, or manufacturing; consumer goods preferred.
- Strong organizational and project-management skills with the ability to juggle many timelines at once.
- Clear, professional communication skills with comfort corresponding with overseas suppliers.
- Proficiency in Excel/Google Sheets; familiarity with PLM or project-management tools is a plus.
- Strong attention to detail and ability to work in a fast-paced, deadline-driven environment.
- Ability to work on-site full time in our NYC office.
