Non-exemptGENERAL SUMMARYAlston & Bird is seeking a dynamic and detail-oriented Marketing Events Coordinator to join our Marketing & Business Development team. This role is instrumental in delivering high-quality client events and experiences—both in-person and virtual—that strengthen relationships and support the firm’s strategic initiatives.
The ideal candidate thrives in a fast-paced professional services environment, brings strong event execution experience, and is passionate about delivering exceptional client service. This position offers the opportunity to work across offices, collaborate with cross-functional teams, and support a wide range of client-facing programs and sponsor ships.
ESSENTIAL DUTIESEvent Planning & Execution Coordinate and execute client programs, including seminars, webinars, receptions, dinners, and special events
Manage event logistics from start to finish, including venue sourcing and negotiation, vendor coordination, technology platform selection,budgeting, and on-site execution
Support the development of program materials, multimedia elements, and communications
Oversee registration, attendee experience, CLE coordination (as applicable), and post-event follow-up Client Entertainment Season Ticket Program Maintain the client entertainment ticket program for the NYC office, which involves a highly organized system of inventory management, establishing relationships with vendors, on-going internal communications to attorneys, evaluating and determining best-use allocation of tickets, electronic transfer of tickets, detailed recording, tracking and reporting of usage, and research on new opportunities
Programs & Operations Coordinate the firm’s client gift and holiday programs, including sourcing and logistics
Maintain accurate records and reporting across marketing systems and tools
Sponsor ships & Client Engagement Manage firm sponsor ships, including negotiating benefits, coordinating deliverables, and ensuring alignment with firm objectives
Support client engagement initiatives, including event-related communications and follow-up Collaboration & Stakeholder Engagement Serve as a key point of contact with vendors, venues, and industry partners
Collaborate with marketing, practice groups, and cross-functional teams across offices
Partner with internal departments including Conference Services, CLE, IT, and Communications Technology & Systems Utilize firm tools and platforms such as Microsoft Office, Teams, Zoom, CRM systems, and marketing automation tools to manage programs and track resultsSKILLS NEEDED TO BE SUCCESSFULPositive, high-energy approach with a commitment to exceptional service
Strong attention to detail and ability to execute seamlessly under pressure
Creativity and innovation in designing engaging client experiences
Ability to work collaboratively with professionals at all levels of the organization
Flexibility and adaptability in a dynamic, fast-paced environment EDUCATION & EXPERIENCE Bachelor’s degree in Marketing, Communications, Hospitality, or a related field3+ years of experience in event planning within a law firm or professional services environment
Strong project management and organizational skills with the ability to manage multiple priorities
Excellent communication and interpersonal skills, with a client-focused mindset
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and virtual event platforms (Teams, Zoom)
Willingness to travel (primarily domestic, occasional international) and support occasional evening/weekend events
