Mark Media is hiring a Founder & Creative Operations Coordinator to work directly with Mark, our founder. You’ll turn conversations into clear next steps, keep client projects organized, coordinate shoots and editors, and make sure important follow-ups happen on time.

This role is for someone who notices what needs to happen next, follows through on details, and enjoys helping a small creative team work well.

About Mark Media

Mark Media creates documentary-style films for investors, companies, founders, foundations, and nonprofits. Our work includes executive profiles, company films, short documentaries, event recaps, podcasts, and social content.

Mark leads creative direction, client relationships, and business development. You’ll help keep the plans, people, and details around that work coordinated so projects and opportunities continue moving.

What You’ll Do

Keep priorities and follow-ups moving

  • Maintain a clear weekly view of active projects, upcoming shoots, client commitments, and decisions that need Mark’s attention.
  • Turn calls and conversations into action items with owners and deadlines.
  • Prepare meeting notes, agendas, follow-ups, and draft responses for Mark to review.
  • Track prospective client conversations, proposals, and promised follow-ups.
  • Flag what’s urgent, what’s blocked, and what you can move forward yourself.

Coordinate creative projects

  • Keep project trackers current from kickoff through final delivery.
  • Schedule interviews, shoots, review calls, and production milestones.
  • Coordinate crew availability, locations, travel details, and shoot information.
  • Make sure editors receive the briefs, footage, transcripts, references, assets, and deadlines they need.
  • Collect client notes, track revisions and approvals, and confirm that deliverables reach the right people.

Make the work easier to manage

  • Keep files, links, contacts, and project information easy to find.
  • Create simple checklists, templates, and handoff processes where they would save time.
  • Spot recurring bottlenecks and help us improve how work moves through the team.

You’ll communicate with clients, collaborators, and crew as part of the role. Early on, you’ll work closely with Mark on priorities and external messages. As you learn the business, you’ll take more coordination off his plate.

What We’re Looking For
  • Excellent organization and follow-through.
  • Clear, professional writing and communication.
  • Good judgment about when to act, when to follow up, and when to bring a decision to Mark.
  • Comfort managing several projects and changing priorities.
  • The ability to turn incomplete information into a practical next step.
  • Genuine interest in creative production and the people and organizations we work with.

Experience supporting a founder or executive, coordinating projects, working in a creative agency, or helping run productions is valuable. We’re open to different backgrounds if you can show that you keep complex work moving reliably.

Familiarity with Google Workspace, project trackers, Frame.io, production workflows, or AI tools is helpful.
Video editing experience is not required.

What Success Looks Like

Mark starts each week knowing what needs his judgment, what the team is handling, and which client commitments are coming up. Shoots are prepared in advance. Editors have complete handoffs. Notes and approvals are tracked. Promised follow-ups get sent.

That gives Mark more time to direct the work, strengthen client relationships, and bring in new projects.

Compensation & Structure
  • Schedule: Approximately 35–40 hours per week
  • Pay: $25–$30/hour, based on experience
  • Initial period: 30–60 days, with the opportunity to extend if it’s a strong fit on both sides
  • Location: New York City preferred; hybrid, with occasional in-person production support
  • Start: Flexible; applications reviewed on a rolling basis
