Position Summary

Reporting to the Vice President of Development, the Development Operations Manager is responsible for donor database operations, gift processing, and development reporting, supporting all fundraising activities at Achilles International. This role manages Raiser’s Edge as the central donor CRM, partners closely with Finance to ensure accurate reconciliation and reporting, and supports community and peer-to-peer fundraising efforts. The Development Operations Manager plays a critical role in strengthening donor data infrastructure, improving systems and processes, and ensuring high-quality donor stewardship.

Key Responsibilities

Development Operations & Gift Processing

  • Conduct accurate and timely processing of all gifts and pledges, including checks, credit cards, in-kind gifts, third-party platforms, matching gifts, and corporate giving portals.
  • Monitor daily bank and donation platform activity and coordinate with Finance to ensure proper recording and reconciliation of all gifts.
  • Lead weekly and monthly reconciliation of donations in partnership with Finance and support audit readiness.
  • Prepare and mail gift acknowledgements, including donor receipts, tribute and memorial letters, and routine donor correspondence.

Donor Database & CRM Management

  • Serve as the primary administrator of Raiser’s Edge, ensuring data accuracy, integrity, and effective use across the Development team.
  • Configure and manage batches, queries, imports, exports, coding, and reporting to support fundraising, stewardship, and compliance needs.
  • Maintain complete and accurate records in Raiser’s Edge for individual, corporate, foundation, and government funders.
  • Identify opportunities to strengthen CRM infrastructure and recommend system improvements and process enhancements.

Reporting, Analysis & Fundraising Support

  • Prepare and distribute regular development and financial reports, including revenue tracking, forecasting, and donor activity analysis.
  • Support community and peer-to-peer fundraising initiatives, including matching gifts and third-party fundraising platforms.
  • Facilitate quarterly payouts to Achilles chapters in partnership with Finance and communicate regularly with chapter leaders about gift status.
  • Support fundraising campaigns and appeals through data entry, list creation, tracking participation, and reporting outcomes.

Team & Donor Support

  • Support portfolio management for Development team members by tracking actions, preparing lists, updating records, and assisting with follow-up.
  • Monitor and respond to general donor inquiries via email and phone in a timely and professional manner.
  • Collaborate with Development colleagues to improve workflows, documentation, and operational efficiency.
  • Perform other related duties as assigned.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • 3–5 years of experience in nonprofit development operations, fundraising support, or donor database management.
  • Strong experience with a donor CRM (Raiser’s Edge/NXT preferred), including gift entry, reporting, queries, and data management.
  • Demonstrated experience with gift processing, acknowledgments, and reconciliation in collaboration with Finance.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Strong written and verbal communication skills and comfort interacting with donors and internal stakeholders.
  • Ability to work independently and collaboratively in a mission-driven environment.

Preferred Qualifications

  • Experience with data imports and integrations (e.g., Importacular).
  • Familiarity with online fundraising and peer-to-peer platforms (e.g., Go Fund Me  Pro, Grassrootz, Given Gain, Haku, corporate matching portals).
  • Experience supporting multiple fundraising functions simultaneously.
  • Demonstrated ability to improve systems, workflows, or documentation in a growing Development operation.

This role is based in New York City with a schedule of four days per week onsite.
