About UsThe Police Athletic League (or PAL) is New York City’s largest independent youth development organization. We operate diverse programs from Head Start, Day Car and Universal Pre-K programs; to elementary and middle school after-school programs, summer day camps and summer Play streets. We run evening teen centers and college readiness programs, as well as youth employment and juvenile justice programs. In its over a century of service, PAL is continuing its evolution and remains a vibrant and vital New York City institution.
PositionSummary
The Police Athletic League of New York City (PAL) is seeking a highly organized, detail-oriented, and collaborative professional to serve as the Advancement Operations & Engagement Manager. Reporting to the Director of External Affairs, this position provides day-to-day operational support for PAL's fundraising, donor stewardship, communications, special events, and partnership initiatives.
The Manager plays a key role in coordinating projects, maintaining advancement systems, supporting donor engagement activities, and ensuring departmental priorities are executed efficiently. This individual will work closely with the Director, Chief Advancement Officer, and other members of the Advancement team to help advance PAL's fundraising and engagement goals.
Essential Duties And Responsibilities Advancement Operations- Coordinate the day-to-day implementation of advancement projects and departmental initiatives.
- Maintain project timelines, work plans, and task lists to ensure deadlines are achieved.
- Track donor engagement activities, stewardship efforts, and follow-up actions.
- Coordinate department meetings, agendas, calendars, and project schedules.
- Maintain accurate donor records and advancement databases while assisting with reporting and data management.
- Coordinate donor acknowledgments, stewardship communications, and recognition efforts.
- Prepare meeting materials, donor profiles, presentations, and briefing documents.
- Support Board Development Committee meetings and related administrative activities.
- Coordinate meeting logistics and communications with corporate, foundation, civic, and community partners.
- Assist in preparing fundraising materials, newsletters, presentations, proposals, and donor communications.
- Coordinate internal review processes to ensure consistency and accuracy of advancement materials.
- Support communications and engagement initiatives that strengthen PAL's relationships with donors, partners, and stakeholders.
- Coordinate logistics for fundraising events, donor cultivation activities, and partnership engagements.
- Assist with invitations, sponsorship tracking, vendor coordination, event timelines, and post-event follow-up.
- Support the execution of special projects and institutional partnership activities.
Minimum Qualifications
- Three to five years of experience in nonprofit development, fundraising, communications, administration, project coordination, or a related field.
- Excellent organizational, project management, and time-management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office.
- Professionalism, discretion, and the ability to work effectively with donors, volunteers, board members, community partners, and colleagues.
- Commitment to PAL's mission and values.
- Bachelor's degree preferred.
- Experience with Raiser’s Edge or similar donor database systems preferred.
