ResponsibilitiesThe Surgical Coordinator is responsible for coordinating and scheduling cosmetic and reconstructive surgical procedures while ensuring an exceptional patient experience throughout the surgical process. This position requires strong organizational, communication, and customer service skills, as well as the ability to manage multiple priorities in a fast‑paced environment. The Surgical Coordinator serves as the primary liaison between patients, surgeons, surgery centers, hospitals, and ancillary providers to ensure all surgical requirements are completed accurately and efficiently.
The individual must respond promptly to scheduling inquiries, procedure changes, and patient concerns while maintaining meticulous attention to detail.
- Schedule office‑based, ambulatory surgery center, and hospital‑based plastic surgery procedures in accordance with surgeon orders and patient preferences.
- Coordinate surgical dates, operating room availability, and provider schedules to maximize efficiency and patient satisfaction.
- Serve as the primary point of contact for patients throughout the surgical scheduling process.
- Educate patients regarding surgical timelines, pre‑operative requirements, post‑operative appointments, and financial obligations.
- Collaborate closely with surgeons, clinical staff, patient coordinators, and administrative personnel to ensure seamless patient care.
- Coordinate with hospitals, surgery centers, anesthesia providers, and vendors as necessary to facilitate surgical procedures.
- Verify completion of all pre‑operative requirements, including medical clearances, laboratory testing, imaging studies, and specialist consultations.
- Ensure all required surgical documentation, consents, and medical records are completed and available prior to surgery.
- Enter and maintain accurate scheduling notes, patient information, and special instructions within the electronic medical record (EMR) system.
- Review surgical plans and procedure details with patients and address scheduling‑related questions.
- Confirm patient insurance information for reconstructive procedures and obtain prior authorizations when required.
- Coordinate self‑pay cosmetic surgery scheduling and communicate payment deadlines in accordance with practice policies.
- Conduct pre‑operative phone calls and appointment confirmations with patients.
- Provide patients with detailed pre‑operative and post‑operative instructions, including arrival times, preparation guidelines, and recovery expectations.
- Schedule and coordinate all post‑operative follow‑up appointments.
- Monitor surgical schedules and proactively communicate any changes, delays, or cancellations to patients and staff.
- Maintain strict confidentiality and compliance with HIPAA regulations.
- Promote patient safety by ensuring all scheduling processes adhere to practice protocols and regulatory requirements.
- Assist other members of the administrative and clinical teams as needed.
- Perform additional duties and special projects as assigned.
