Salary Range: $55,000.00 To $65,000.00 Annually

Job Summary

The Quality Control Coordinator provides administrative and operational support to the Quality Control Manager by maintaining quality documentation, preparing routine reports, tracking quality records, coordinating testing activities, and assisting with department organization. The role helps keep quality information accurate, current, and readily available while supporting inspection, compliance, and reporting activities. Quality decisions, approvals, investigations, supplier escalations, audit ownership, and department strategy remain the responsibility of Quality Management.

Responsibilities:
Quality Documentation & Record Management
  • Maintain quality procedures, work instructions, forms, specifications, training records, and other controlled documents.
  • Track document revisions and help ensure current approved versions are properly filed and distributed.
  • Maintain inspection reports, test reports, product quality records, and related department documentation.
  • Organize and archive quality documents in accordance with company record-retention requirements.
  • Maintain quality training records and training matrices.
Reporting & Department Support
  • Compile quality data and prepare routine KPI reports, dashboards, and department metrics for management review.
  • Maintain department trackers for complaints, corrective actions, testing activities, open items, and quality projects.
  • Prepare reports, presentations, meeting materials, and supporting information for the Quality Control Manager.
  • Record meeting notes, update action-item logs, and follow up on assigned items.
  • Assist with scheduling department meetings and coordinating routine department communications.
CAPA, Non-Conformance & Complaint Tracking
  • Maintain corrective action, non-conformance, and customer complaint logs.
  • Track the status of open quality issues and follow up on outstanding action items.
  • Collect and organize supporting documentation for investigations and corrective actions.
  • Update records and prepare status summaries for Quality Management.
  • Escalate overdue or incomplete action items to the Quality Control Manager.
Compliance & Testing Administration
  • Coordinate product testing requests, sample submissions, and testing schedules as directed.
  • Maintain regulatory documentation, certificates, declarations, and laboratory reports.
  • Track testing due dates, renewals, and document expiration dates.
  • Assist with collecting and organizing compliance documentation for management review.
  • Notify the Quality Control Manager of missing, expired, or incomplete compliance records.
  • Maintain supplier certifications, test reports, and quality documentation files.
  • Track supplier document expiration dates and renewal requirements.
  • Assist with organizing supplier quality records and routine correspondence.
  • Route documentation concerns or missing information to the Quality Control Manager.
Inspection & Quality Support
  • Perform product inspections and basic testing according to established procedures and approved specifications, as assigned.
  • Document inspection findings and maintain accurate inspection records.
  • Assist with sample preparation, sample tracking, and test-result documentation.
  • Identify and document non-conforming materials and report findings to Quality Management.
  • Support quality investigations by gathering inspection records, samples, and related documentation.
Audit & Project Support
  • Organize quality records and supporting documentation for audits.
  • Maintain audit files and track assigned follow-up items.
  • Support department projects and continuous improvement activities through data collection, documentation, and tracker updates.
  • Provide administrative support for new product, product-change, and quality-related projects as assigned.
Requirements:
Education & Experience
  • Associate's or bachelor's degree in Quality, Business Administration, Manufacturing, Supply Chain, or a related field preferred.
  • Two or more years of experience in Quality Control, Quality Administration, Manufacturing, Document Control, or a related support function preferred.
  • Experience maintaining records, trackers, reports, or controlled documents preferred.
Knowledge & Skills
  • Strong organizational and administrative skills with close attention to detail.
  • Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Ability to compile data, maintain trackers, and prepare routine reports and presentations.
