We are seeking a skilled, experienced, and hands‑on Real Estate Manager to oversee the day‑to‑day operations and long‑term strategy of a family‑owned portfolio of 2–3 commercial buildings in New York City. This role requires someone who is equally comfortable managing detailed operational responsibilities and thinking strategically about financial performance, capital improvements, and regulatory compliance.
The Real Estate Manager will serve as the central point of contact for all matters related to the portfolio and will report directly to the Owner, with additional collaboration and reporting to ownership’s partners. This is a high‑impact leadership role requiring both operational discipline and strategic insight.
Key Responsibilities Tenant Relations- Serve as the primary point of contact for all tenants
, ensuring a high standard of tenant satisfaction - Address and resolve tenant concerns, complaints, and service requests promptly and professionally
- Manage all tenant billing
, including rent collection, arrears follow‑up, and payment processing - Oversee lease renewals and tenant communications
- Coordinate move‑in and move‑out processes
, ensuring proper documentation and execution
- Manage the full leasing cycle
, including marketing vacancies, conducting showings, screening applicants, negotiating lease terms, and executing agreements - Develop and implement strategies to minimize vacancy and maximize occupancy across the portfolio
- Monitor local market conditions to ensure competitive rental pricing and positioning
- Oversee property‑level budgets and financial reporting
- Manage accounts payable and receivable related to property operations
- Prepare monthly, quarterly, and annual financial reports for ownership review
- Coordinate with external accountants and bookkeepers as needed
- Identify cost‑saving opportunities and strategies to improve net operating income
- Plan, coordinate, and oversee repairs, renovations, and capital improvement projects
- Solicit and evaluate contractor bids, negotiate contracts, and manage vendor relationships
- Ensure projects are completed on time and within budget
- Conduct regular property inspections to identify maintenance needs and uphold ownership standards
- Maintain thorough knowledge of NYC Department of Buildings (DOB) regulations, commercial zoning laws, and applicable codes
- Ensure full compliance with all city and state regulations, filings, and inspection requirements
- Manage DOB filings, violations, permits, and inspections
- Stay current on regulatory changes and proactively advise ownership on their operational and financial impact
- Coordinate with legal counsel regarding lease disputes, tenant proceedings, evictions, and regulatory matters
- Track and manage ongoing legal matters related to the portfolio
- Ensure all lease agreements and legal documentation are properly executed and compliant
- Minimum of 5 years of experience in property management or real estate operations, preferably with NYC commercial properties
- Strong working knowledge of NYC DOB regulations, commercial zoning laws, and building codes
- Demonstrated experience in tenant relations, leasing, financial oversight, and construction/project management
- Ability to shift seamlessly between high‑level strategic planning and hands‑on operational tasks
- Excellent organizational, communication, and problem‑solving skills
- Proficiency in property management software, financial reporting tools, and standard office applications
- Experience managing a small, family‑owned real estate portfolio
- NYS Real Estate License or Real Property Administrator (RPA) designation
- Established relationships with NYC contractors, vendors, and service providers
- Familiarity with NYC commercial landlord‑tenant proceedings and dispute resolution
