Salary Range: $65,000.00 To $75,000.00 Annually

Position Summary

The Management Assistant supports the day-to-day management and operation of a portfolio of retail properties throughout New York City. Reporting to the Vice President of Retail Management, this position works closely with tenants, vendors, and internal departments to coordinate property operations, maintain regulatory and lease compliance, oversee administrative processes, and support repair, maintenance, and capital improvement projects.

The ideal candidate is highly organized, proactive, and capable of managing multiple priorities independently. This role requires strong communication, analytical, and problem-solving skills, as well as a commitment to providing exceptional customer service to tenants, vendors, and internal business partners.

Essential Duties and Responsibilities

Tenant Relations and Lease Administration

  • Coordinate retail tenant move-ins and move-outs.
  • Serve as a primary point of contact for tenant questions, concerns, and operational issues, responding in a timely and professional manner.
  • Monitor tenant compliance with lease requirements and assist in enforcing landlord and tenant obligations.
  • Track tenant violations, permits, licenses, and other required regulatory documentation.
  • Maintain accurate tenant records, including contact information, utility accounts, certificates of insurance, permits, licenses, grease trap servicing, and HVAC filter maintenance.

Property Operations and Compliance

  • Coordinate repair, maintenance, and property improvement projects with vendors and internal departments.
  • Monitor tenant and vendor certificates of insurance to ensure compliance.
  • Assist with Local Law 84 benchmarking and other applicable regulatory compliance requirements including Local Law 88, Local Law 126, Local Law 152
  • Provide a high level of customer service to tenants, vendors, contractors, and internal stakeholders.
  • Assist with the day-to-day operational needs of the retail property portfolio.

Financial and Administrative Responsibilities

  • Prepare and process purchase orders and pre-approval requests.
  • Review vendor invoices for accuracy and facilitate timely payment processing.
  • Prepare tenant chargebacks, as required.
  • Maintain organized files, reports, and operational documentation.
  • Perform other administrative, operational, and project-related duties as assigned.

Project Coordination

  • Collaborate with Construction, Engineering, Accounting, Legal, and other internal departments to support property initiatives.
  • Coordinate multiple projects simultaneously while meeting deadlines and maintaining attention to detail.
  • Monitor project progress and communicate updates to management and stakeholders.

Qualifications

Required Qualifications

  • Bachelor's degree in Real Estate, Property Management, Business Management, Construction Management, Architecture, Engineering, Urban Planning, or a related field.
  • Minimum of three (3) years of full-time property management experience.
  • Strong organizational, analytical, project management, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to prioritize multiple assignments and meet deadlines with minimal supervision.
  • Strong interpersonal skills and a professional, customer-focused communication style.
  • Proficiency in Microsoft Outlook, Excel, and Word.

Preferred Qualifications

  • Experience in commercial or retail property management.
  • Experience in construction, architecture, engineering, or project management.
