Position Summary
Pro Dig LLC is seeking a reliable and detail-oriented Sales Support Representative to support our outside sales team and act as a key point of coordination between Sales, Production, Engineering, and our customers. This role focuses on accurate order entry, internal coordination, and clear customer communication, while also supporting warranty claims, returns, equipment calibration, and customer rentals.
Key Responsibilities- Enter and process sales orders accurately based on information from outside sales representatives or customers
- Review orders for completeness, pricing accuracy, and delivery requirements
- Prepare and send order acknowledgments and confirmations
- Maintain accurate order status and customer records within ERP/CRM systems
- Provide administrative and coordination support to outside sales representatives
- Coordinate with Production and Engineering to support order fulfillment
- Communicate customer requirements and order changes clearly to internal teams
- Assist in clarifying product details or specifications as needed
- Monitor production schedules and help manage delivery commitments
- Communicate order confirmations, delivery dates, and schedule changes to customers
- Respond to customer questions regarding order status, lead times, warranties, rentals, and basic product information
- Support customer warranty claims, including documentation and coordination with internal teams
- Process customer returns and exchanges
- Track warranty and return status and communicate updates to customers
- Coordinate equipment calibration returns from customers, including tracking and documentation
- Support Pro Dig’s rental equipment program, including scheduling, tracking, and customer communication
- Maintain accurate records of rental and calibration equipment
- Experience in a sales support, customer service, administrative, or coordination role
- Strong organizational skills and attention to detail
- Clear written and verbal communication skills
- Ability to manage multiple tasks and follow established processes
- Comfort working with computers and business software (ERP/CRM, Microsoft Office)
- Willingness and ability to learn new products, systems, and processes
- Experience in manufacturing, construction, equipment, or industrial environments
- Interest in working with mechanical or technical products
- Exposure to order entry, logistics, production scheduling, warranties, or rental equipment
- Prior experience in the helical pile or drilling industry is helpful but not required
