Trust Stone Group is seeking a highly organized, proactive, and customer-focused Sales Assistant to support the Sales team in managing customer accounts, coordinating orders, and ensuring exceptional service throughout the sales process. This individual will serve as a key liaison between Sales, Operations, Product Development, Production, and customers to ensure orders are processed accurately and delivered on time.
The ideal candidate thrives in a fast-paced wholesale environment, is highly detail-oriented, and enjoys managing multiple priorities while providing outstanding support to both internal teams and external customers. This role requires excellent communication skills, strong organizational abilities, and the ability to anticipate customer needs while maintaining accuracy across high-volume accounts.
Key Responsibilities- Provide day-to-day support to the Sales team and key customer accounts.
- Serve as a primary point of contact for customer inquiries, order updates, and product information.
- Assist in preparing sales presentations, proposals, quotations, and customer communications.
- Build and maintain positive relationships with customers through timely and professional communication.
- Support account managers with customer follow-up and ongoing account maintenance.
- Enter and process customer purchase orders accurately and efficiently.
- Monitor orders from receipt through shipment to ensure timely fulfillment.
- Coordinate order changes, cancellations, and special requests.
- Communicate with customers regarding order status, shipping schedules, and product availability.
- Resolve order discrepancies and work with internal teams to ensure customer satisfaction.
- Partner closely with Production, Sourcing, Operations, Logistics, and Product Development teams to ensure customer requirements are met.
- Coordinate product availability, inventory updates, and shipment timelines.
- Assist with new product launches by communicating product information and supporting customer onboarding.
- Ensure seamless communication between internal departments and external customers.
- Maintain accurate customer records, pricing files, and sales documentation.
- Prepare weekly sales reports, spreadsheets, and account summaries.
- Manage customer databases and CRM systems.
- Organize customer meetings, presentations, and sample requests.
- Assist with trade show preparation and follow-up activities.
- Respond promptly to customer questions regarding products, pricing, shipments, and orders.
- Resolve customer concerns by coordinating with internal departments.
- Track open issues and ensure timely resolution.
- Maintain a high level of customer satisfaction through proactive communication and follow-up.
- Assist with forecasting and sales planning activities.
- Monitor inventory levels and communicate potential supply concerns.
- Support special projects and process improvement initiatives.
- Maintain organized files, documentation, and reporting systems.
- Perform additional administrative and operational duties as assigned.
- Associate's or Bachelor's degree preferred.
- 2+ years of experience in sales support, customer service, account coordination, or inside sales.
- Experience in wholesale, consumer products, retail, or distribution environments preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Advanced proficiency in Microsoft Excel, Outlook, and Microsoft Office.
- Experience with ERP systems, CRM platforms, or order management systems is a plus.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.

- Experience supporting major retail accounts.
- Knowledge of purchase order processing and order management.
- Experience working with consumer products or wholesale organizations.
- Familiarity with inventory management and logistics coordination.
- Experience preparing sales reports and customer presentations.
- CRM experience (Salesforce, Hub Spot, Net Suite, or similar).
