We are seeking an experienced and detail-oriented Operations / Logistics Coordinator to join a growing wholesale skincare company based in New York City. This role is critical to ensuring the smooth flow of products from production through fulfillment and delivery. The Operations / Logistics Coordinator will manage order processing, inventory coordination, shipping logistics, and cross-functional communication to support timely and accurate order fulfillment.

The ideal candidate has prior experience in operations and logistics, strong organizational skills, and the ability to manage high-volume orders in a fast‑paced wholesale environment. Experience with in beauty, skincare, or consumer packaged goods is highly preferred.

Order Management & Fulfillment

• Manage end-to-end order processing for wholesale customers
• Review and process purchase orders, ensuring accuracy in pricing, quantities, and delivery timelines
• Coordinate with warehouses and fulfillment partners to ensure on‑time shipment of orders
• Track open orders and proactively address delays, shortages, or discrepancies

Logistics & Shipping Coordination

• Oversee domestic and international shipping logistics
• Coordinate with freight forwarders, carriers, and third‑party logistics providers
• Monitor shipping schedules, delivery confirmations, and freight costs
• Ensure compliance with shipping requirements and documentation

Inventory & Supply Chain Coordination

• Monitor inventory levels to support order fulfillment and demand planning
• Coordinate inventory replenishment and communicate needs with internal teams
• Maintain accurate inventory records and assist with cycle counts or reconciliations

Cross‑Functional Collaboration

• Work closely with sales, production, and finance teams to align operations with business needs
• Communicate order status, inventory availability, and shipping updates to internal and external stakeholders
• Support new product launches by ensuring operational readiness

Process Improvement & Reporting

• Maintain detailed records of orders, shipments, and logistics performance
• Prepare operational reports and metrics related to order fulfillment and logistics
• Identify inefficiencies and recommend process improvements to enhance accuracy, speed, and scalability

Customer & Vendor Communication

• Serve as a key point of contact for customers regarding order status and logistics inquiries
• Liaise with vendors, suppliers, and logistics partners to resolve operational issues
• Ensure a high level of customer satisfaction through clear communication and follow‑up

Required Qualifications

• Proven experience in operations, logistics, or supply chain coordination
• Prior experience managing wholesale orders is required
• Strong understanding of shipping, fulfillment, and inventory processes
• Excellent organizational skills and attention to detail

Preferred Qualifications

• Experience in skincare, beauty, or consumer packaged goods
• Familiarity with ERP systems and order management software
• Experience working with third‑party logistics providers
