Job Description
The Temporary Fleet Administrator ensures central oversight of the organization’s fleet of 24vehicles and collaboratively develops and maintains standards and best practices to ensure that safety is the number one priority for approximately 60 full-time or routine drivers. Liaises with all departments that need to operate a vehicle to conduct business.
Key Responsibilities- Coordinate with other relevant staff, including the Office Operations Coordinator, to ensure that the fleet of 30 owned and leased cars, vans, and trucks is efficiently managed
- Ensure appropriate vehicle use, insurance requirements, and maintenance schedules
- Maintain vehicle records using a tracking spreadsheet
- Process payments for tolls, tickets, gas, and other expenses
- Oversee driver onboarding and offboarding, including assigning training and tracking vehicle keys
- Guide staff in need of roadside assistance
- Advise on vehicle repairs, assist with identifying mechanics; may occasionally bring cars and vans to the shop, if applicable experience
- Monitor pre-trip inspections

- 2+ years of relevant and hands‑on experience in a similar role
- Exposure to fleet management, logistics, or operations
- Familiarity with and driving knowledge of NYC streets and with vehicle regulations
- Knowledge of vehicle maintenance/repairs, experience finding reputable service providers
- Analytical, strategic, solution‑oriented approach to problem solving
- Computer literate
- Commitment to safety and responsible fleet management
- Excellent organizational, record‑keeping, and communication abilities (both written and verbal)
- Strong initiative and time‑management skills, with the ability to work independently
