Overview

We are seeking a highly organized, detail-oriented Administrative Assistant to provide temporary coverage for a key team member supporting a Director at Stanford Health. This role will ensure seamless day-to-day administrative operations during a leave of absence lasting a minimum of three months.

The ideal candidate is proactive, professional, and comfortable working in a fast-paced healthcare environment supporting executive-level leadership.

Key Responsibilities
  • Provide direct administrative support to a Director and leadership team
  • Manage complex calendar scheduling, including coordinating meetings across multiple stakeholders
  • Arrange internal and external meetings, prepare agendas, and distribute materials
  • Coordinate travel arrangements and process expense reports
  • Prepare correspondence, reports, presentations, and other documents
  • Serve as a point of contact for internal departments and external partners
  • Track action items and follow up to ensure timely completion
  • Assist with department communications and maintain organized filing systems
  • Support special projects and ad hoc administrative requests as needed
  • Ensure confidentiality and handle sensitive information with discretion
Qualifications
  • 3+ years of administrative experience supporting senior leaders (healthcare experience preferred)
  • Experience supporting director-level or executive leadership
  • Strong calendar management and scheduling skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to prioritize multiple tasks and manage shifting deadlines
  • Professional demeanor with strong interpersonal skills
  • Ability to maintain strict confidentiality
  • Experience working in a healthcare or hospital setting
  • Experience with enterprise systems (e.g., Workday, Epic, or similar platforms)
  • Experience coordinating large meetings or cross-functional initiatives
