Description
:
We are seeking a highly organized, detail-oriented Administrative Assistant to provide temporary coverage for a key team member supporting a Director at Stanford Health. This role will ensure seamless day-to-day administrative operations during a leave of absence lasting a minimum of three months.
The ideal candidate is proactive, professional, and comfortable working in a fast-paced healthcare environment supporting executive-level leadership.
Key Responsibilities- Provide direct administrative support to a Director and leadership team
- Manage complex calendar scheduling, including coordinating meetings across multiple stakeholders
- Arrange internal and external meetings, prepare agendas, and distribute materials
- Coordinate travel arrangements and process expense reports
- Prepare correspondence, reports, presentations, and other documents
- Serve as a point of contact for internal departments and external partners
- Track action items and follow up to ensure timely completion
- Assist with department communications and maintain organized filing systems
- Support special projects and ad hoc administrative requests as needed
- Ensure confidentiality and handle sensitive information with discretion
- 3+ years of administrative experience supporting senior leaders (healthcare experience preferred)
- Experience supporting director-level or executive leadership
- Strong calendar management and scheduling skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to prioritize multiple tasks and manage shifting deadlines
- Professional demeanor with strong interpersonal skills
- Ability to maintain strict confidentiality
- Experience working in a healthcare or hospital setting
- Experience with enterprise systems (e.g., Workday, Epic, or similar platforms)
- Experience coordinating large meetings or cross-functional initiatives
