Our growing construction company in Newark, Delaware is seeking a reliable and organized Office Assistant to support daily administrative operations. This role is ideal for someone who thrives in a fast-paced environment, communicates professionally, and can help keep office processes running smoothly. The Office Assistant will work closely with office staff, project managers, and field teams to ensure accurate documentation, timely communication, and efficient support across the business.

Key Responsibilities:
+ Provide general administrative support to office staff and construction management teams. Based on general knowledge.
+ Answer and direct incoming phone calls, emails, and visitor inquiries in a professional manner. Based on general knowledge.
+ Maintain filing systems, both electronic and paper, for contracts, invoices, permits, purchase orders, and project documents. Based on general knowledge.
+ Assist with data entry, recordkeeping, and updating internal spreadsheets and databases. Based on general knowledge.
+ Prepare, format, and distribute reports, correspondence, and other office documents. Based on general knowledge.
+ Support scheduling of meetings, appointments, and job-related activities. Based on general knowledge.
+ Help coordinate communication between office personnel, vendors, subcontractors, and field staff. Based on general knowledge.
+ Monitor office supply inventory and place orders as needed. Based on general knowledge.
+ Assist with billing support, invoice tracking, and basic accounts payable/receivable tasks. Based on general knowledge.
+ Ensure the front office remains organized and professional at all times. Based on general knowledge.
Requirements
Qualifications:
+ High school diploma or equivalent required; associate degree preferred. Based on general knowledge.
+ 1+ years of administrative, clerical, or office support experience, preferably in construction, contracting, or a related industry. Based on general knowledge.
+ Proficiency in Microsoft Office, including Word, Excel, and Outlook. Based on general knowledge.
+ Strong organizational skills and attention to detail. Based on general knowledge.
+ Excellent verbal and written communication skills. Based on general knowledge.
+ Ability to prioritize tasks and manage multiple responsibilities effectively. Based on general knowledge.
+ Comfortable working in a deadline-driven environment. Based on general knowledge.
+ Familiarity with construction documents, job costing, scheduling, or vendor coordination is a plus. Based on general knowledge.
