We are seeking a highly organized, energetic, and adaptable Staffing Coordinator to support our fast-paced, high-volume Talent Acquisition team. In this role, you will play a critical part in delivering an exceptional candidate experience while coordinating complex interview schedules, managing hiring workflows, and supporting recruiters and leadership throughout the hiring process.

Job Title: Staffing Coordinator
Location: Newark, Delaware
Shift: 8:30AM-5PM or 9AM-5:30PM (Mon-Fri)
Pay Rate: $30/hourly

Key Responsibilities
  • Coordinate and schedule interviews across multiple time zones and locations
  • Deliver a positive, high-touch candidate experience throughout the interview process
  • Manage candidate logistics including travel arrangements and expense reports
  • Support high-volume interview days and job fairs
  • Maintain and update the Applicant Tracking System (ATS) daily
  • Input and manage recruiting data with accuracy and attention to detail
  • Initiate and monitor background checks and hiring documentation
  • Draft and send offer letters and recruiting-related communications
  • Post job openings on Workday and external job boards
  • Collaborate with recruiters, HR partners, and senior leadership
  • Prepare weekly recruiting reports, dashboards, and quarterly business review (Q ) materials
  • Assist with onboarding coordination and new hire transitions
  • Continuously identify opportunities to improve recruiting processes
What We’re Looking For
  • 2+ years of professional or administrative experience (recruiting/HR preferred)
  • Strong organizational and multitasking skills with the ability to manage competing priorities
  • Experience working with Outlook or calendar management tools
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Detail-oriented with a strong focus on accuracy and execution
  • Ability to handle sensitive and confidential information with discretion
  • A proactive, solution-oriented mindset with the ability to adapt quickly to change
  • Excellent communication and interpersonal skills
  • Positive, high-energy attitude with a strong customer service focus
