Overview

Context Of The Job Under the limited direction of the Senior Advisor, the Events Manager will develop and implement a comprehensive strategy to market and engage constituents through events and community engagement targeted to further the mission of the College of Health Sciences and partners. These activities have University and community-wide impact and connect the work done by our faculty and students to a wide variety of constituents including government, business, non-profit, etc.

The Events Manager serves as the liaison between the Dean’s office and academic units, the Office of Development & Alumni Relations, other University offices, and external constituencies in the development, collaboration, and promotion of programs, events, and activities that complement strategic initiatives. The Events Manager manages all event logistics from concept through completion, ensuring each event meets the University’s standards for excellence and inclusivity.

Responsibilities
  • Develops an annual strategy of engagement for key initiatives that highlights the impact of work done in the College and engages faculty/staff, students, alumni/donors, and community/business partners and special projects.
  • Manages all aspects (start to finish) of College-sponsored events (in person and virtual), including Dean’s office events, ceremonies, conferences, speaker series, workshops, student programs, donor events, recruitment events, special celebrations and Development programs.
  • Coordinates appropriate facilities, equipment, speakers, catering, technology, logistical requirements and publicity for these events. Provides on-site supervision for events as needed; resolves or manages resolution of problems and issues as they arise.
  • Develops program budgets and manages payment of event expenses within that budget. Tracks expenses, processes invoices, reconciles expenses in the Concur system, and maintains financial records.
  • Participates in conjunction with the Dean, Department Chairs, Director of Strategic Initiatives, Communication Specialists and the Development Office in an overall marketing plan for key initiatives and implement action items that further our engagement efforts.
  • Serves as a liaison between contractors, organizers, faculty, and administrators with regards to all facets of the logistical operations support of multiple programs and events.
  • Prepares post event reports and provide recommendations for data driven continuous improvements.
  • Maintains event calendars, reservation systems and related databases.
  • Develops and implements practices, policies and procedures consistent with those of the University relating to events and special projects to ensure a successful outcome.
  • Supervises any hourly and student event employees.
  • Performs other job-related duties as assigned.
Qualifications
  • Bachelor’s Degree in Marketing, Communication, Hospitality, Public Relations, or other applicable degree and three years of experience.
  • Proficiency with office productivity tools (Google, Teams, Microsoft Office, etc.).
  • Ability to use social media, web development and CRM or other engagement tools preferred.
  • Ability to handle multiple tasks concurrently, and skill in organizing resources and establishing/adjusting priorities in a rapidly changing environment.
  • Excellent oral, written, interpersonal and communication skills and ability to work with faculty/staff, alumni, donors, community members, and University administration as well as people of all ages with diverse backgrounds.
  • Excellent organizational skills with particular attention to detail.
  • Understanding of academic policies, as well as current and emerging University relations issues and trends.
  • Ability to work independently, anticipate issues and proactively seek resolutions.
Special Requirements
  • Availability to work early mornings, evenings and weekends as dictated by event calendar.
