Lead Office Services Associate (Facilities-Focused) Position Summary
The Lead Office Services Associate is responsible for overseeing the daily maintenance, organization, and overall functionality of all M&E office space in Newark (five floors, including the ground floor). This role is facilities-focused and cross-functional, providing support across facilities, mailroom, print services, and office operations to ensure a safe, clean, and professional environment for employees and visitors.
Pay-Rate: Up to $26.50/hr
Shift: 8:00am - 5:00pm;
Monday - Friday
- Coordinate and manage maintenance of all office and operational spaces.
- Perform light repairs and upkeep including painting, spackling, replacing light bulbs, repairing furniture, addressing minor wall/window/door damage, and installing or repairing desk locks.
- Install high-density shelving systems and support workspace reconfigurations.
- Execute and manage staff relocations, including coordination of furniture, belongings, and IT equipment.
- Support and maintain Data Center areas as needed.
- Maintain a clean, organized, and professional office environment across all floors.
- Serve as liaison with building management and submit facility-related requests through Prism.
- Coordinate with janitorial and maintenance vendors to ensure timely and quality service delivery.
- Maintain vendor relationships and service level agreements to ensure cost-effective, high-quality service.
- Evaluate vendor performance and address service issues proactively.
- Review and submit invoices for payment.
- Act as the primary point of contact for office-related issues, responding promptly and professionally to employee inquiries and requests.
- Provide exceptional customer service to all employees and visitors.
- Proactively identify and implement process improvements to enhance office efficiency and employee experience.
- Assist and provide backup support to the Operations department as needed.
- Maintain effective organizational systems, including document filing and storage.
- Assist the Director of Office Services with the direction and implementation of facilities-related projects.
- Provide regular updates to leadership on the status of key initiatives and issues.
- Participate in ongoing training and professional development, including use of the Cornerstone platform.
- Assist in planning and coordinating meetings, conferences, and office events.
- Prepare meeting rooms, manage room setups, and coordinate catering and audio-visual needs.
- Collaborate with internal departments to ensure seamless event execution and positive attendee experiences.
- Experience in facilities coordination, office services, or building operations.
- Hands-on ability to perform light maintenance and repairs.
- Strong organizational and multitasking skills.
- Excellent customer service and communication abilities.
- Experience coordinating vendors and managing service requests.
- Ability to work cross-functionally in facilities, mailroom, and print operations.
