A Leading Global Commercial Insurance Provider in Midtown Manhattan seeks a full‑time executive assistant to support a C‑level executive. Candidates must have 7–10+ years of high‑level experience, a bachelor's degree, and be based in NYC. Ideal candidates are polished, professional, flexible, resilient, proactive, confidential, detail‑oriented, and able to handle fast‑paced, high‑pressure work with a 24/7 mentality.
Compensation:
Salary 150‑175k+ base, paid overtime, discretionary bonus eligibility.
Hours:
8:30 am‑5:30 pm, with flexibility for overtime and occasional weekend check‑ins during the executive’s travel. 5 days in office.
- Provide comprehensive administrative support, managing schedules, priorities, and communications with precision and discretion.
- Act as gatekeeper and liaison among executive, board members, senior leaders, investors, and partners.
- Anticipate needs, proactively solve problems, and handle sensitive matters confidentially.
- Own end‑to‑end calendar management across global time zones.
- Prepare agendas, briefing materials, presentations, and follow‑up action items.
- Arrange complex domestic and international travel on short notice, including flights, accommodations, ground transportation, and visas.
- Manage itinerary changes and handle disruptions calmly and efficiently.
- Submit accurate expense reports, ensuring compliance with company policies.
- Maintain high accessibility and responsiveness outside standard business hours as required.
- Support urgent requests with professionalism and composure.
- Track priorities, deadlines, and deliverables; ensure follow‑through.
- Collaborate with other executive assistants and teams for alignment and efficiency.
- Manage local facilities support services.
- Support special projects and ad‑hoc initiatives as assigned.
- Minimum 7+ years of experience supporting a front‑office C‑level executive.
- Bachelor’s degree required or strongly preferred.
- Proven ability to operate in high‑pressure, fast‑moving environments.
- Strong judgment and emotional intelligence; can handle challenging situations professionally.
- Exceptional organizational and time‑management skills with meticulous attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities simultaneously.
- Advanced proficiency in Microsoft Outlook, Teams, PowerPoint, Excel, and related tools.
- Calm, confident, unflappable demeanor.
- Highly adaptable and comfortable with ambiguity.
- Proactive, self‑directed, solution‑oriented.
- Absolute discretion and integrity.
