Job Responsibilities

Provide clerical and administrative support to the Director and Project Team while managing the daily office operation, including phones, emails, invoicing, payroll, inventory, and general administrative duties.

Essential Functions
  • Perform a variety of clerical and administrative tasks, including managing correspondence, documents, mail, invoicing and daily office operations.
  • Process weekly payroll and bill payments accurately and in a timely manner
  • Assist management with Documents for Prints, Change Orders, Estimates, and project related documents
  • Assist with employee time sheets, job assignments and union reporting
  • Assist management with workflow/job costing reports and project details
  • Answer phones, greet visitors, take and relay messages; receive deliveries, coordinate appointments
  • Manage inventory in the office and shop
  • Order, receive and stock office and shop supplies
  • Create, maintain, and update customer and job files
  • Schedule, coordinate and organize events such as meetings with corporate office, safety, training, customer appointments and job meetings
  • Perform filing, research, data entry, photocopying, and other administrative support tasks as needed
  • Complete other duties as assigned
Qualifications
  • Three to five years of executive assistant experience
  • Strong and demonstrated attention to detail, accuracy and organization
  • Ability to multi-task, prioritize responsibilities, and follow direction
  • Proficient in operating commonly used office equipment
  • Proficient in Microsoft Office suite, including Excel and Word
  • Proficient in Adobe and Quick Books
  • Knowledge of Construction Industry
  • Fluent in Spanish is a plus, but not required
