35 Hours/Week M-F (1 hour Unpaid)

8:00 A.M. – 4:00 P.M.

Nature of Work as a Deputy Clerk

A Deputy Clerk is an entry level position. This position generally has minimal experience with Probate Court procedures, computer skills and legal terminology, and involves direct customer support, both in-person and by phone. A Deputy clerk is required to apply independent judgment in verifying the accuracy of the information being processed and the ability to use multiple computer applications.

Essential Functions of the File Room Clerk
  • Answer general questions by phone and in person regarding court related issues
  • Scan and file court documents
  • Assist customers with records requests in person and online

    Ability to understand the Ohio Revised Code, Rules of Superintendence, and the Court’s local rules as they apply to probate matters
  • Provide access to legal resources and information, and assist with the process of filing documents
  • Use email and review documents for approval
  • Daily interaction with the public
  • Handle cash and credit card transactions
  • Process mail
  • Prepare certified copies
  • Other duties as assigned
Knowledge and Skills
  • Ability to be cross-trained in other departments listed as needed by the Court
  • Perform related work or tasks as required by the Court
  • Knowledge of modern office practices and procedures
  • Ability to operate standard office equipment, i.e., copiers, fax, etc.
  • Knowledge of basic computer applications
  • Ability to prepare work neatly and precisely
  • Demonstrate regular and predictable attendance
  • Ability to maintain harmonious working relationships with the attorneys, public and employees.
  • Ability to work with minimal supervision after a training period
  • Ability to communicate effectively with individuals in person or on the telephone
  • Hearing ability sufficient to hold conversation with other individuals both in person and by telephone
Working Conditions and Physical Demands
  • Employees work indoors and are protected from weather conditions or contaminants
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets
  • This is a sedentary job and the employee will sit more than 50% of his/her workday
  • The employee is expected to use a computer keyboard for extended periods of time and occasionally lift and/or move up to 10 pounds
  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job
Qualifications and Requirements

Any combination of training and work experience which indicates possession of the skills, knowledge and functions listed. Previous experience with the court system, legal terminology and strong customer relations skills are preferred.

  • High school diploma or GED
  • Must have strong communication and customer service skills and a demonstrated ability to use good judgment
  • Must be at least 18 years of age
  • Must be a US citizen
  • Must be drug free
  • Must be able to speak, read, count and write the English language
  • Must adhere to the Court’s Personnel Policy Manual
  • Visual ability sufficient to effectively operate office equipment such as copier, computer and printer; to read and write reports, correspondence, and instructions
  • Speaking ability sufficient to communicate effectively with other individuals in person and by telephone
Additional Qualification

Applicants that can speak a foreign language or American sign language

Additional consideration will be given to individuals that are Spanish proficient.
