Administrative Assistant
The Administrative Assistant role requires someone who displays exemplary customer service skills, including the ability to handle complex and sensitive calls in a timely, professional, and courteous manner. The successful candidate will perform a variety of administrative duties such as mailing, faxing, printing, and uploading documents.

- Answer all incoming telephone calls within 30 seconds in an efficient manner and transfer to the appropriate party.
- Cover reception desk when assigned and as needed: answering phones, greeting, and assisting visitors and patients.
- Assist with meeting preparations – reserving conference rooms and escorting guests.
- Receive and process incoming mail, signed delivery tickets and other documents as assigned.
- Upload documents quickly and accurately to the appropriate computer system.
- Light cleaning – Conference Rooms, kitchens, common areas as needed.
- Replenish employee kitchens.
- Coordinate courier pickups.
- Polite and professional communications.
- Handle company info with appropriate sensitivity and safeguards to ensure confidentiality and compliance with applicable local, state, and federal laws.
- Other duties as assigned.
- High School diploma or equivalent. A college degree is preferred.
- Minimum of 3 years’ experience in customer service, preferably at a high-volume call center.
- Minimum of 3 years’ experience in an administrative capacity.
- Detail-oriented with strong interpersonal skills.
- Must be able to work in a fast-paced environment.
- Ability to prioritize, perform multiple tasks at one time, and have good organizational skills.
- Ability to provide excellent/professional customer service, both face to face and on the telephone.
- Excellent Communication skills including reading, writing, and speaking to effectively handle position responsibilities.
- Proficiency in Microsoft Office Suite.
- Knowledge of CPR+ preferred.
Required to stand, walk, sit, talk, and hear; required to use hands to operate vehicles and office equipment; must be able to occasionally lift and/or move up to 25 lbs; specific vision requirements for this job include: close, distance and peripheral vision, and the ability to adjust focus, reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position without compromising patient care.
