Program Assistant
Rutgers, The State University of New Jersey, is seeking a Program Assistant for the Division of Advanced Nursing Practice (ANP) within the School of Nursing located in Newark, NJ. Under direction of the Program Director, the Program Assistant will perform a wide variety of administrative and office management responsibilities and coordinate administrative services to achieve efficient operation of the Nurse Anesthesia Program.
The incumbent typically works at a high degree of independence and uses initiative to carry out regular assignments in accordance with established policies and procedures.
Duties include:
- Provides administrative support to the Program Director, Assistant Program Directors, and faculty of the Anesthesia Program.
- Organizes, maintains, and files confidential correspondence, essential student and faculty records (physical and electronic), and other program information.
- Supports and maintains specific electronic vendor services such as web-based platforms for clinical logging and curriculum content review.
- Facilitates communication between the school, faculty, and students; documents attendance, and takes meeting minutes; drafts and sends mass emails; serves as program primary/initial point of contact.
- Prepares comprehensive reports, presentations, and official correspondence. Responds to inquiries as directed and distributes informational materials in a timely manner according to University policy and practice.

Required Knowledge, Skills, and Abilities
- Bachelor's Degree in a related field is required. A minimum of one (1) year of professional-level experience required. Equivalent experience, education, and/or training may be substituted for the degree requirement. Knowledge and understanding of academic, program design and execution, coordination, organization, facilitation, report analysis, and writing. Efficient in Microsoft Office and basic data analysis. Advanced knowledge of office and administrative practices and principles, knowledge of standard office equipment/programs and excellent written, verbal, and communication skills with a diverse population.
Must be detail oriented. The ability to exercise discretion and ensure a high-level of confidentiality and the ability to establish and maintain effective and harmonious work relationships with faculty, staff, students, and the general public are essential. Must have strong organizational skills and the ability to pay careful attention to details and work in a fast-paced, team environment. Must have flexibility to adjust work hours occasionally to support program needs and faculty schedules.
