About the RoleIn order to achieve its ambition of serving 80, Fellows over the next decade, Braven is hiring an Office Coordinator, Newark Office, who will oversee the general administrative functions and activities of the Newark, NJ office. As a member of the People & Operations team, you will orchestrate seamless daily operations, ensure efficient workflow, foster a collaborative environment, and drive productivity to achieve organizational excellence.
This role is on the People & Operations team and reports directly to the Head of Technology & Workplace Operations.
What You’ll DoAs an integral part of our team, you will wear many hats to ensure the smooth operation of our office. Your key responsibilities will include:
Operational Activities (70%)
- Oversee daily facility requirements regarding maintenance, repairs, cleaning services, storage, supplies, purchasing, maintaining the kitchen area, and similar tasks.
- Maintain responsibility for facility cleanliness and security to ensure a healthy and safe working environment for all.
- Provide minor technical support and triage with IT, as needed.
- Liaise with vendors to troubleshoot routine issues and maintain office equipment and procedures.
- Evaluate, source, and recommend office services and facilities consultants and vendors.
- Provide administrative and logistical support for staff events and training, such as placing supplies and food orders, coordinating conference rooms, and setting up and breaking down events.
- Serve as the point of contact for all matters related to the Newark office.
- Facilitate meetings, address employee concerns, and contribute to a positive, inclusive office culture.
- Provide valuable insights and recommendations for continuous improvement in office processes and functions.
Administrative Oversight (30%)
- Take charge of day-to-day administrative tasks, including but not limited to helping with the scheduling of events in the Newark office, office supply management, and facility coordination.
- Provide administrative support for special events planning, including day‑of support.
- Support monthly credit card, translation, and interpretation billing reconciliation.
- Collaborate with the finance team to reconcile rent payments and ensure accurate financial records.
- Maintain a keen eye for detail in managing budgetary aspects related to office operations.
- Other duties as assigned.
- 2 years of relevant office management or administrative experience.
- Proficient in standard office software (e.g., Microsoft Office Suite).
Preferred Qualifications
- Associate's degree or higher in business administration, management, or a related field.
- 3+ years of experience in office management or a related role.
- Exceptional organizational abilities and communication skills.
- Experience with project management or team leadership is advantageous.
- Strong customer service ethic and instincts.
- Seeks out feedback, is receptive to proactive feedback, and actively uses it to improve.
- Interacts comfortably and authentically with people who have a range of identities, personalities, and ways of operating.
- Ability to effectively manage up to ensure the timely completion of projects and tasks.
