Our client is seeking a Office Coordinator to support a high-impact office relocation project. This role is ideal for someone who enjoys coordinating logistics, working with vendors, and ensuring workplace operations run smoothly. You'll play an integral role in helping employees transition into a new office environment while keeping projects organized and on schedule.
Job Description:The Office Coordinator will provide hands-on support for an upcoming office relocation by coordinating vendors, organizing workplace assets, managing project timelines, and communicating with internal stakeholders. This individual will help oversee every stage of the move, from planning and packing through post-move setup, ensuring a seamless transition for employees. The office relocation is expected to take place toward the end of September.
Key Responsibilities:- Coordinate daily activities related to the office relocation and ensure project deadlines are met.
- Partner with moving companies, shredding providers, and other vendors to facilitate all aspects of the relocation.
- Inventory, organize, and track office furniture, equipment, supplies, and workplace assets.
- Oversee packing, labeling, and movement of office materials to maintain organization throughout the project.
- Create and update employee seating assignments for the new office location.
- Communicate relocation timelines, updates, and expectations to employees and leadership.
- Coordinate the secure disposal of confidential documents through approved vendors.
- Identify potential project risks and implement solutions to keep the relocation on schedule.
- Assist with setting up work spaces and common areas after the move to ensure operational readiness.
- Maintain organized documentation related to vendors, inventories, project updates, and relocation activities.
- High school diploma or equivalent required.
- Previous experience supporting office relocations, workplace projects, facilities coordination, or office operations.
- Experience in positions such as Workplace Coordinator, Facilities Coordinator, Office Coordinator, or Administrative Support preferred.
- Proficiency with Microsoft Office Suite, including Excel and Outlook.
- Exceptional organizational skills with strong attention to detail.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Excellent communication and vendor coordination skills.
- Self-starter who proactively identifies solutions and keeps projects moving forward.
