We are seeking a highly organized, proactive, and service-oriented Office Administrator to oversee daily office operations and ensure a productive, welcoming workplace environment. This individual will play a key role in supporting employees, managing office logistics, coordinating vendors, and maintaining the overall functionality of the office. The ideal candidate is hands‑on, detail-oriented, and thrives in a fast-paced environment where no two days are the same.

Key Responsibilities Office Operations
  • Maintain a professional, organized, and efficient office environment.
  • Ensure the office remains clean, welcoming, and fully operational on a daily basis.
  • Proactively identify and address office needs and operational challenges.
Office Supplies & Inventory Management
  • Monitor inventory levels for office, kitchen, and breakroom supplies.
  • Order and replenish supplies as needed.
  • Maintain organized storage areas and ensure essential items are consistently stocked.
  • Oversee cleanliness and organization of kitchen and shared spaces.
  • Coordinate replenishment of food, beverages, and breakroom supplies.
  • Assist with coordinating cleaning and maintenance as needed.
Shipping, Receiving & Errands
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Perform office-related errands, including trips to shipping providers, stores, vendors, and other local destinations.
  • Utilize a personal vehicle for business-related errands, with mileage reimbursement provided.
Food & Catering Coordination
  • Coordinate daily lunch programs, catering orders, snacks, beverages, and related logistics.
  • Manage food service arrangements for meetings and special events.
Calendar & Meeting Support
  • Coordinate conference room scheduling and meeting logistics.
  • Assist with calendar management and support efficient team operations.
  • Serve as a liaison with vendors, maintenance providers, and service partners.
  • Coordinate office services and ensure timely resolution of facility-related issues.
Guest & Employee Experience
  • Welcome visitors and provide a professional and friendly experience.
  • Support employees with office-related needs and inquiries.
Events & Special Projects
  • Assist with planning and executing office events, team gatherings, and company functions.
  • Take ownership of special projects and administrative initiatives as assigned.
Qualifications
  • Bachelor's degree preferred.
  • 3+ years of administrative, office management, workplace operations, or related experience preferred.
  • Valid driver's license and reliable personal vehicle required.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong problem‑solving abilities and sound judgment.
  • High level of attention to detail and accuracy.
  • Professional, polished, and customer-service-focused demeanor.
  • Self‑motivated with a proactive, "can-do" attitude.
  • Comfortable performing both administrative and hands‑on workplace support responsibilities.
  • Ability to work independently while also collaborating effectively with team members.
