Purpose and Scope of Position
Supports the successful operation of the GMP facility, laboratory, and business functions at Warren sites through interaction with internal customers and external service providers. Contributes to the completion of specific milestones associated with projects impacting cross‑functional teams, supports the department on diverse projects that extend beyond their functional area, and may provide project management leadership on tasks of moderate scope specific to their functional area.
With little or no direction, this individual carries out routine tasks and functions. Uses analytical skills and expertise. Independently identifies and solves problems of minor scope and complexity. Works collaboratively with supervisors, team members, and customers to achieve team goals and uses informal leadership opportunities and effective communication to influence team direction and build trust and value.
50% onsite required.
Required Competencies- Computer skills in Microsoft Office Suite:
Word, Excel (basic), PowerPoint (presentations), SharePoint (preferred), Outlook. - Extensive background in database systems; ability to learn new software such as corporate intranet and enterprise business systems.
- Ability to interact with business partners and customers to identify and deliver agreements and purchase orders; drive activities for creation and execution of master purchasing agreements.
- Responsible for creating and maintaining records in accordance with record retention policies and legal requirements.
- Knowledge of web pages (web parts, lists, pages, libraries, permissions, content, forms).
- Strong working knowledge in computer training systems.
- Working knowledge of enterprise business systems such as Ariba and SAP.
- Knowledge of accounting principles and experience with departmental budget management.
- Strong written and verbal communication skills; highly proficient at writing well‑formed emails and notifications; experience with technical writing and document development.
- Excellent interpersonal skills with diverse workforce.
- Strong multitasking and organizational skills; ability to manage multiple tasks and activities simultaneously.
- Familiarity with FDA and EU environments and associated compliance regulations.
- Required:
BS degree in Business, Science, or Supply Chain. - Minimum 3 years of facilities/maintenance/engineering project coordinating/planning experience, preferably in a biotech environment.
- General Administrative Responsibilities: makes travel arrangements; orders office supplies; prepares check requests; ships documents via overnight courier; processes invoices for payment; creates purchase orders in Ariba; schedules meetings in Outlook; coordinates departmental activities; assists staff with software issues; coordinates cross‑functional activities; prepares department meeting minutes; assists with developing and tracking departmental expense and capital budgets; files/organizes paperwork; submits IT/IS service requests.
- Capital Project Responsibilities: routes and tracks Capital Appropriation Requests (CARs); routes and tracks legal contracts; inputs purchase requisitions; routes and tracks purchase orders; approves and tracks invoices; updates project spreadsheets (financial and status); facilitates review and approval cycles of project documentation; assists with project closeout; assists with purchase order closeout; maintains project documentation in hard copy and on SharePoint.
- Record Retention: acts as RR notification recipient for group; ensures all department employees are trained on RR; interfaces with employees to ensure compliance; maintains accurate documentation of program completion; maintains up‑to‑date RR binders.
Ability to sit, stand, walk and move within workspace for extended periods.
