Senior Legal Operations Lead
Topcon Healthcare, Inc. is seeking a Senior Legal Operations Lead to support a growing legal function in a regulated healthcare and AI environment.
Key Responsibilities- Legal Operations and Systems
- Evaluate, configure, and implement legal technology, including AI tools, with a bias toward practical execution over analysis.
- Administer legal matter intake (Checkbox.ai), including triage, workflows, reporting, and template configuration.
- Support selection and implementation of a new CLM system, including templates, data migration, and process design.
- Maintain and improve current file‑based contract and document repository, including routine data entry and file organization.
- Identify and implement process improvements and automation across the legal function.
- Compliance and Reporting
- Own recurring compliance processes, including Sunshine Act (Open Payments) reporting, quarterly and ad hoc reporting to parent company, and audit support.
- Maintain compliance calendar and ensure timely, accurate submissions.
- Support audit readiness and documentation.
- Coordinate with finance, sales, and compliance teams on process improvements.
- Contracts and Legal Support
- Draft, review, and manage standard agreements (NDAs, basic commercial templates).
- Conduct first‑level issue spotting on routine matters and elevate to attorneys as appropriate.
- Maintain template library and support contract standardization.
- Coordinate execution workflows and records management.
- Program Ownership and Cross‑Functional Support
- Own discrete programs such as Sunshine Act reporting, audit coordination, reporting cadence, and corporate governance mechanics (board resolutions, etc.).
- Serve as a primary legal contact for defined teams and business functions.
- Support policy rollout, training, and cross‑functional coordination.
- Assist with policy development and contract standards.
- Paralegal/legal ops background (5+ years, in‑house preferred) or attorney background (J.D. with 1-3 years of experience, including foreign‑qualified attorneys).
- Notary Public certification preferred.
- Strong organizational skills and ability to manage multiple deadlines.
- Experienced with contracting processes and legal workflows.
- Fluency with legal technology tools and systems, including SaaS configuration and administration.
- Ability to balance efficiency, judgment, and risk awareness.
- Systems‑and process‑oriented, focused on building and scaling structured legal operations.
- Hands‑on and execution‑focused; willing to move between strategic process work and administrative tasks without friction.
- Comfortable handling sensitive and privileged information.
- Practical, business‑minded approach to legal support.
- Strong communication and cross‑functional collaboration skills.
- Flexibility and adaptability in a changing corporate environment rooted in Japanese business standards and practices.
This role offers exposure to commercial, regulatory, and governance matters in a global healthcare organization, with the opportunity to expand in scope over time based on performance and business needs. Candidates with an attorney background should understand that this is not structured as a practicing counsel position at hire.
Base Pay and CompensationExpected Base Pay Range: $120,000 to $140,000 annualized. Base pay is presented as a projected hiring range for this position.
Bonus eligible:
In addition to base pay, compensation includes eligibility for a 10% annual bonus.
Changes in the position level, location or other factors associated with the role may change the final determined compensation.
