Sr. Administrative Assistant – LMHP Executive Administration

Position Summary

Performs administrative and secretarial duties for Vice‑President, Management Staff, and Support Staff of Licking Memorial Health Professionals Executive Administration.

Responsibilities
  • Field incoming phone calls, take messages, and/or provide responses to incoming calls.
  • In the absence of the Administrative Secretary, open and process interoffice mail and U.S. mail.
  • Schedule daily, weekly, and monthly meetings on calendar for the Vice President of Physician Practices.
  • Assist Physician Recruiter with physician recruiting efforts.
  • Coordinate travel requests and arrangements.
  • Update LMHP physician contracts with current changes, if any, and email 60 days prior to Term date of contract.
  • Schedule Health Professionals (HP) Conference Rooms, as needed.
  • Provide general clerical support to the Vice President of Physician Practices (i.e., typing of correspondence including letters and memorandums; filing, copying; and faxing information).
  • Prepare and submit departmental payroll for HP Administration employees and gather payroll approval sheets for ED Physicians, Anesthesiologists, Peds Hospitalist extra hours.
  • Organize monthly meeting of Executive Council:
    Notices, Agendas, Minutes.
  • Review and update HP portion of LMHS Web site.
  • Assist with budget process.
  • Review policies and procedures and send on for approval to VP Physician Practices.
  • Review ISO forms for Health Professionals Administrative Office, make changes as needed and submit to VP Physician Practices for approval.
Requirements
  • Prefer Secretarial Science degree, minimum two‑year experience and high school graduate/equiv. with advanced communication and technical skills.
  • Prioritize and organize work effectively.
  • Exercise discretion, judgment and initiative.
  • Work independently.
  • LMH is accredited by DNV and TJC, and as such, may require specific annual education related to specialty certifications and standards.
