About the Job:
Under the operational direction of the Director of Academic Operations and Strategy, the Academic Operations Coordinator runs the standalone systems and logistical workflows that keep the academic division operating smoothly. The position provides critical infrastructure support for faculty lifecycle processes, records maintenance, financial execution, and divisional communications.
Job responsibilities include, but are not limited to:
* Office Operations & Front Desk Management (25%)

* Data Maintenance & Systems Tracking (15%)
* Event Coordination & Community Leadership (15%)

A day in the life of this position:
On any given day, you will start by opening the physical Academic Affairs Office, greeting visitors, and triaging incoming inquiries from the general AAO email inbox to keep communication flowing. Your morning might be spent auditing submitted digital folders for the upcoming Promotion and Tenure cycle to ensure strict word-count compliance, or updating instructor workload tables in People Soft.
After enjoying lunch close to campus, you might gather with a small team of student workers to coordinate front-desk hospitality scheduling. Your afternoon could involve reconciling department expenditures in Concur, followed by hosting a collaborative "Admin Lunch" where you provide updates and train departmental assistants from across the university on upcoming course evaluation workflows. You will close the day finalizing logistics for next week's Faculty Lecture, knowing your organization keeps the university's academic core steady and strong.
We're looking for candidates who have:
* A Bachelor's degree or an equivalent combination of education and professional administrative support experience in a complex office setting.
* Demonstrated experience handling transactional financial processes, budget tracking, or processing digital workflows.
* Prior experience managing, entering, and maintaining records within a complex database system (experience with People Soft or academic evaluation software is a plus).
* Exceptional organizational and logistical skills, with a proven ability to manage strict project timelines and seasonal cycles independently.
* Strong collaborative and interpersonal communication skills, enabling confident peer leadership, cross-departmental coordination, and mentorship of student employees.
* Absolute discretion and the ability to maintain strict boundaries when handling sensitive institutional timelines and structural processes.
* Proficient technical literacy across enterprise platforms, cloud storage management (e.g., Google Drive permissions), and basic website content editors.
