Job Summary Are you an organized, patient-focused administrative professional who enjoys being at the center of a busy clinical practice? Join our Urology team in Newburyport as a full-time Clinic/Practice Assistant, where your attention to detail, communication skills, and commitment to excellent service will help create a smooth, welcoming experience for patients and care teams alike.
About the Practice Located at 260 Merrimac Street in Newburyport, MA, our Urology practice evaluates and treats a wide range of adult urologic conditions. Our board-certified team provides advanced, compassionate care and includes experts in minimally invasive surgical techniques, including laparoscopic, endoscopic, extracorporeal, and percutaneous approaches.
What You’ll Do- Support daily practice operations by performing a variety of administrative and clerical duties related to patient visits.
- Schedule patient appointments, maintain appointment records, and assist with check-in and check-out responsibilities.
- Answer phone calls, respond to routine inquiries, take accurate messages, and help route patient needs appropriately.
- Process billing forms, scan documents into the medical record, and support accurate patient documentation.
- Assist with messages related to prior authorizations, provider questions, prescription refills, and test results.
- Serve as a knowledgeable resource for scheduling, registration, and billing systems, including providing support and training to others as needed.
- Support more complex practice functions, such as surgical scheduling, schedule changes, or template blocking, based on department needs and competency level.
- Work closely with the supervisor to help support daily staff activities and efficient practice operations.
- High School Diploma or equivalent required.
- Two to three years of office experience required.
- Certified Medical Administrative Assistant (CMAA) preferred.
- Proficiency with Microsoft Office applications and general office operations, including filing, copying, scanning, printing, and faxing.
- Strong phone skills with the ability to manage routine and non-routine calls professionally.
- Excellent written and verbal communication skills, including the ability to compose and edit emails, memos, and letters.
- Strong organization, attention to detail, and time management skills.
- Ability to manage multiple priorities, follow established protocols, and work effectively within clinical systems.
