General Definition of Work

Performs intermediate skilled administrative support work assisting with a variety of complex office assistance and administrative tasks, providing primary administrative support in receiving and processing incoming calls and visitors, preparing, and maintaining detailed and/or confidential records and files, and related work as apparent or assigned. Work is performed under the limited supervision of the assigned supervisor.

Essential Functions

Communications are conducted in a timely, efficient, and professional manner. Written communications are clear, concise, and grammatically correct with proper punctuation.

Prepares and maintains assigned caseloads in a consistent and organized manner and presents files to the appropriate supervising attorney in a timely manner prior to court dates.

Timely and efficiently imports and manually enters data pursuant to office policy. Scans images and documents evidence that cannot otherwise be entered into the case management system. Accurately builds and maintains case file folders, including appropriate notations when awaiting additional information or when files require specific direction. Prepares and incorporates all necessary forms and documents prior to attorney review.

Maintains familiarity and compliance with GCIC rules and regulations regarding the obtaining, handling, and maintenance of criminal history information and related records.

Acts as receptionist; greets visitors, citizens and customers; answers telephone; provides information, answers questions and responds to inquiries or complaints; forwards call to appropriate party

Types and prepares a variety of documents, including correspondence, forms, reports, and related materials requiring knowledge of formatting and presentation. Independently responds to routine correspondence.

Enters a variety of data into computer systems and reviews information for accuracy, completeness, and compliance with established standards and procedures. Enters and retrieves sensitive and restricted information as required.

Prepares and maintains a variety of office files, accounts, and other records; complies information and verifies data.

Receives, sorts, processes and distributes incoming and outgoing mail.

Operates a variety of standard office equipment; performs light maintenance on photocopy and scanning equipment.

Encourages and promotes a culture of excellent service.

Knowledge,

Skills and Abilities

Thorough knowledge of the organization and functions of the department and of general administrative policies and practices; thorough knowledge of standard office practices, procedures, equipment and office support techniques; thorough knowledge of business English, spelling and arithmetic; ability to read, understand and interpret difficult materials with complicated information that may contain excerpts from regulatory and/or legal documents; ability to keep office records and to prepare accurate reports from file sources;

ability to perform and organize work independently; ability to prepare effective correspondence on routine matters and to perform office management functions without referral to supervisor; ability to operate standard office and computer equipment including ability to operate specialized software; ability to establish and maintain effective working relationships with associates, elected officials, other agencies and the general public.
