School Secretary
Provide secretarial services for the principal, administrative staff and teachers. Develop and maintain filing system appropriate to responsibilities for efficient operation of the school office. Perform customary office routines and practices associated with a productive and smoothly run office. Operate computer and various types of business machines required to perform the functions of a bookkeeper. Answer telephone/take messages/respond to caller's questions appropriately.
Keep up-to-date information on areas of responsibility. Assist in preparing reports, textbook and instructional supply orders. Process employee separation notices. Maintain teacher/employee attendance reports. Prepare custodial time edit information. Prepare fire drill reports. Check students in/out. Maintain all financial records of cash receipts or disbursements. Make school deposits and reconcile bank statement. Prepare financial reports of all receipts and disbursements and submit to the system finance department in a timely manner.
Prepare accounts for special project receipts. Comply with any reasonable oral or written directive of the principal or other appropriate school staff. Excellent attendance and punctuality required.
Minimum high school diploma, appropriate clerical and business training/experience. Ability to demonstrate and apply effective interpersonal skills, practical knowledge of business English, general vocabulary, spelling, and modern office practices. Ability to compose routine memoranda and letters; maintain clerical records and be proficient in accounting skills and practices. Ability to operate/manage a computer based accounting system. Ability to operate business machines and make mathematical calculations with speed and accuracy.
Ability to meet and deal with the general public in an effective and tactful manner. Three (3) years acceptable secretarial, clerical, bookkeeping/accounting experience and/or appropriate training.
